I often ask leadership teams:
“What’s your proposal win rate?”
The answers usually sound like:
“We’re busy.”
“We submit a lot.”
“We’ve won a few good ones.”
That’s not performance tracking.
A real proposal win-rate breakdown looks like:

Wins by sector
Wins by contract size
Wins by procurement type
Wins with partners vs solo
Wins when incumbent vs challenger
Without segmentation, you can’t see patterns.
And without patterns, you can’t adjust strategy.
If you don’t track it, you’re not improving it.
If you want to move from volume to strategy, learn more about the Proposal Advisory with the link in the comments.

Most proposal stress isn’t about a lack of time.

It’s about when structure shows up.

If structure appears at the end,
You spend your time fixing.

If structure appears at the beginning,
You spend your time strengthening.

The difference isn’t effort.
It’s sequencing.

If your team is constantly rushing at the end, the issue isn’t capacity ; it’s design. Learn more about the Proposal Advisory by clicking the link in the comments.

A founder once told me:

“I rewrite every executive summary myself. I don’t trust anyone else to get the positioning right.”

So I asked:
“How many proposals did you submit last year?”

“Fourteen.”

“How many could you have handled if you weren’t the bottleneck?”

Silence.

Many founders carry proposals because they believe quality depends on them.

But here’s the real issue:
There is no system translating their judgment into repeatable standards.

Without structure:

Tone shifts with every submission

Strategy lives in someone’s head

Reviews happen too late

Burnout becomes normal

Systems don’t replace expertise.
They make expertise usable by others.

That’s how you scale quality without rewriting everything at midnight.

If you’re still the final gatekeeper on every submission, it’s time to rethink the process. Learn more about the Proposal Advisory using the link in the comments.

A few years ago, a client told me:
“We lost by 3 points. It feels arbitrary.”

It wasn’t arbitrary.

The RFP had:

A 40% technical weighting

A 10% methodology breakdown

A 20% risk mitigation section

Mandatory compliance screens

A pricing formula clearly published

The winning team didn’t “write better.”
They structured their submission around how the scoring grid actually worked.

Proposal scores follow patterns:

Evaluators score against criteria

Risk language affects confidence

Clarity increases perceived control

Missed sub-criteria quietly lower totals

When you design for evaluation mechanics, outcomes stop feeling random.

If you want to understand how evaluators are actually scoring your submissions, learn more about the Proposal Advisory here: https://proposals.koteriabusinessacademy.com/the-proposal-advisory

Not every proposal is worth pursuing.

Green flags signal clarity and intent.
Red flags signal risk and wasted effort.

Learning to spot the difference early
protects your time and energy before writing even starts.

Many businesses assume there’s one place to find opportunities in Canada.

There isn’t.

Opportunities are spread across public, private, and institutional platforms.
Some businesses don’t know where to look.
Others look everywhere and get overwhelmed.

Both approaches waste time.

What matters isn’t knowing every portal,
It’s knowing which ones match the type of work you actually want to win.

Focus saves time long before a proposal is written.

I don’t scan everywhere.
I scan where decisions are real.
That means:
Clear timelines
Clear scope
Real intent to move forward
Opportunity hunting without structure leads to rushed work and wasted time.
