1. Headteacher
JOB PURPOSE
A Headteacher, or Headmaster/mistress creates a positive and appropriate learning environment through the management of a school. Their duties include helping deliver the highest standard of education to the students, supporting Teachers and staff and ensuring an overall safe and successful school environment.
Duties and responsibilities
A Headteacher must be prepared to face a wide range of challenges and responsibilities daily. They should be able to communicate in public and spend time on their own completing administrative assignments.
Their main duties and responsibilities include and are not limited to:
● Creating an academic programme for students that meets national standards
● Working closely and communicating with students’ parents
● Helping assess students’ needs and development
● Selecting, training, supporting and assessing staff
● Providing guidance to staff to help resolve issues with students
● Using data to track student performance and produce reports
● Working with external advisors and school governors
● Controlling school curriculum in line with the Ministry of Educations guidelines and objectives
● Ensuring the safety of all children in the institution/programme
Knowledge, Skills and Abilities Required:
• Full Grade 12 certificate with 5 Credit or better
● Diploma in Primary Education
● minimum 3 years experience in a supervisory/senior role
● minimum of 5 years teaching experience
● Excellent English language communication (written and oral) skills
● Computer literate, with an emphasis on accounting systems and familiarity with Google Sheets, Excel and Ms Outlook
● Ability to prioritise workload to ensure that deadlines are met without compromising standards
● An eye for detail whilst maintaining an objective approach to materiality
● The ability to quickly resolve disputes between staff
● Flexible and cooperative approach to work
2. School Accountant/Finance Officer
JOB PURPOSE
● To manage and further develop all aspects of the school’s day-to-day financial operations.
● To provide information, advice and guidance on matters relating to finances.
SPECIFIC RESPONSIBILITIES
Focusing on, but not limited to:
● Budget Management, Reporting and Analysis
● Evaluating information to prepare a realistic and balanced budget for the school and forecast annual budgets
● Maintain accurate financial data, including accurate monthly financial statements.
● Monitoring financial performance and analysing cost-benefit performance of operations.
Identifying causes of significant variance and taking prompt corrective action.
● Proposing revisions to the budget if necessary in response to unforeseen developments.
● Giving weekly financial reports (verbal) to Administrative Director
● Preparing written monthly financial statements
Submitting monthly accounting reports to Administrative Director
● Responsible for accuracy and integrity of accounting records
● Daily Financial Operations
● Liaise with School Directors
● Ensure accurate and timely billing of tuition and collection of fees.
● Manage cash flow including petty cash bookkeeping.
● Salary calculations, payroll and payslips.
● Ensure accurate management of the fixed asset register.
● Pay suppliers/vendors in a timely manner.
● Employee loan and tax funds.
● Administering credit card transactions and other payment gateways.
● Ensuring all budgets remain up-to-date and accurate
● Evaluate accounting as well as purchasing procedures, systems, and controls
● Assist in the review of policies as applicable and make recommendations for improvements
Other Duties and Responsibilities:
Any other reasonable duties/responsibilities that the Head of School may from time to time ask the post holder to perform.
Knowledge, Skills and Abilities Required:
• Full Grade 12 certificate with 5 Credit or better
● Certification in Bookkeeping/Accounting & Finance
● Excellent English language communication (written and oral) skills
● Computer literate, with an emphasis on accounting systems and familiarity with Google Sheets, Excel and Ms Outlook
● Ability to prioritise workload to ensure that deadlines are met without compromising standards or circumventing procedure
● Varied and relevant experience of managing a financial accounting function, including audit work
● An eye for detail whilst maintaining an objective approach to materiality
● The ability to quickly grasp the financial impact of proposals
● Flexible and cooperative approach to work
● At least 3 years of experience with an English-language based accounting system including practical accounting, process, systems, and rules
● Experience of working in a similar capacity, ideally in a school and/or with children or customer-service driven environment
3. School Secretary
Job Purpose
The School Secretary’s primary role is carrying out tasks essential to the smooth running and operations of the company. The school secretary serves as the face of the school, greeting learners, parents and other stakeholders and providing them with information. Secretaries schedule appointments, answer phones and give administrative support to the management and leadership of the company.
Duties and Responsibilities
• Welcome visitors to the School and provides directions around the campus as needed to ensure good customer service.
• Answer the telephone and address caller questions and concerns to ensure good customer service.
• Transfer calls to proper individuals and/or department as needed for effective communication.
• Provide information to parents and prospect parents on the company services.
• Mail Learners report cards, school brochures, and other necessary forms.
• Maintain a calendar of school events.
• Type and contribute to school bulletin or newsletter.
• Contacts parents in the event of Leaner behavioral issues.
• Maintains learner’s records and files.
• Use computer database or filing system to update records as necessary.
• Manages and updates school calendar.
• Provides administrative support to Headteacher or other upper level administrator as needed.
• Takes dictation and transcribes documents.
• Attends office meetings and takes minutes.
• Act as conduit of information and communication among all stake holders.
• Preparing requisition for various purchases and payments.
Qualifications and Core Competencies And Skills:
• Full Grade 12 certificate with 5 Credit or better;
• A diploma in Secretarial and Office Management Studies or its equivalent with 3 years’ working experience in a similar setting. A Bachelor’s Degree will be an added advantage
• Must be creative and enthusiastic towards their work
• Good communication skills, both oral and written
• Good administrative, interpersonal and records management skills
• Strong critical thinking, problem-solving skills
• Must hold high levels of integrity and professionalism
• Flexible, Transparent, Must be computer literate
