Position Description for: Training & Educational Events Intern

Title: Training & Events Intern, Office of Citizen Services and Innovative Technologies/18F

Program: GSA’s DigitalGov University (DGU) is the events platform for DigitalGov. DGU provides programming to build and accelerate digital capacity by providing webinars and in-person events highlighting innovations, case studies, tools and resources.

Note: This is a HANDS-ON, practical internship where you will be learning and DOING training event planning and logistics on a regular basis. Intern is unpaid. Open to current university students only.

1. REQUIREMENTS & MAJOR DUTIES:
This position is open only to active students at a U.S. university or college. Applicants must be U.S. Citizens or have a valid Green Card or work visa or permit.

The candidate serves as a Training & Events Intern under the direction of Alycia Piazza, Program Manager of DigitalGov University (DGU), or another member of the staff at the Office of Citizen Services and Innovative Technologies (OCSIT), at the U.S. General Services Administration (GSA).

The applicant performs a variety of any of the following duties:

Events Support (40%) - Assist the DGU staff in planning and executing both in-person and virtual training events. Hands-on planning and technical logistics of setting up an event. Learn the screen sharing and recording technology and assist with all aspects of developing an event. Shadow our facilitators and moderators in conducting events.

Performance Metrics Reporting (35%) - Assist with gathering and reporting performance metrics from DGU events, to evaluate success of each event and make continuous improvements to the training program. Interview attendees and instructors to gather insights about improving the program and sharing knowledge from training events.

Multimedia Content development (10%)- Assist in producing and editing content in various forms, including video and web content. Edit and finalize webinar recordings for on-demand learning. Help in tagging content, prepping content for uploading to either Howto.gov or social media sites. Create transcripts and captioning for videos. Draft blog entries to help promote training events and key takeaways.

Marketing / Outreach (15%)- Assist in promoting DGU events via social media, especially via Twitter. Advance program outreach by bringing creative ideas for reaching new audiences, building learning communities, and using social marketing. Learn and use robust Customer Relationship Management Tool (Salesforce) to help market to current and potential new customers, including updating customer and agency data.

2. DURATION
Our office has immediate internship openings, for a period of three months or longer. Ideally we’d like someone to start in the new year and continue through the end of May.

3. KNOWLEDGE REQUIRED BY THE POSITION
Some experience in event and logistics management as well as community building
Excellent customer service skills
Marketing and outreach skills and experience with campaign promotion
Interest in training and applying creative approaches to adult education
Superb organizational and time management skills
Able to work under tight deadlines and quickly shift priorities based on emerging projects.
Able to excel in both team-based and independent projects.
Knowledge of social media, including Twitter, blogs, Google Applications, Youtube, and emerging tools.
Writing and editing skills
Interested in public service and working across federal agencies.

Types of Training
DGU offers a range of online, in-person, and on-demand training events. Most in-person classes are held in Washington, DC. Read more about the types of classes in digital government and the current DGU schedule.

5. SUPERVISORY CONTROLS & GUIDELINES
Assignments are given primarily by the project lead (Alycia Piazza), although assignments may have this intern working with various project managers, other colleagues and managers. Projects may also be initiated by the individual.

Any one of the above may set the overall objectives and works with the employee to establish priorities, deadlines, and final completion date. Where aspects of the tasks are unfamiliar or lack clear, established precedents, employee is expected to obtain advice from the supervisor or senior specialists.

The supervisor (or appropriate colleague) monitors the work in progress, reviews the proposed solutions for accuracy of methods and techniques selected, and evaluates the finished work for accuracy, timeliness, and compliance with standards.

The applicant relies on their own skills and will gain knowledge on best practices related to media, web content, or the relevant skill set, in addition to agency procedures for guidance on matters relating to general administrative policies.

7. COMPLEXITY
The applicant is responsible for assisting in the implementation and coordination of numerous programs simultaneously. Duties are diverse and typically involve a variety of methods or procedures toward resolution. Assignments will be of the appropriate complexity level for that individual intern.

8. SCOPE AND EFFECT
The intern will gain many benefits from this position, most notably the broad scope and effect of working on programs that reach across the federal government, rather than one individual agency. The applicant will support programs that reach thousands of government employees and, indirectly, millions of Americans via the government services that are provided by those employees. Their work will impact multiple communities, including those working in social media, web content, usability, accessibility, college students (through internships), marketing and many others. Examples include:
Web content for DigitalGov.gov provides a useful and actionable resources to the entire Federal government. Directly serves network of nearly 3,000 federal, state, and local government web and new media professionals
Marketing promotes the branding and use of programs and services government-wide and to the general public
Training & event planning allows thousands of government employees working on digital services access to learn how to deliver those services in a way that will meet their customer’s needs.

9. PHYSICAL DEMANDS & WORK ENVIRONMENT
The work is largely sedentary, with occasional lifting of equipment ranging from light (tripods) to heavy (computers and monitors).

The work is performed in an office setting, with occasional meetings at event sites or partnering government agencies.
