[09/08/21]   Assists with all business and office duties assigned by the Director. Handles incoming telephone calls and keeping children’s files current.

RESPONSIBLE TO:

SPECIFIC RESPONSIBILITIES
Including but not limited to:

1. Typing correspondence with prior approval of the director.
2. Receiving, screening, and routing incoming calls.
3. Entering a new students into Pro Care
• Family Pickup Info
• Shot Record
• School Messenger
• Pickup Codes
• Allergies List
4. Updating Shot records daily into the State system.
5. Preparing vaccination letters for parents. Sending letters out as needed.
6. Updating School Messengers with staff or student information as needed.
7. Creating Closing Calendar for staff each month.
8. Creating Tuesday Tidbits bi-weekly for staff.
9. Creating monthly calendar.
10. Updating and making extra copies of: School Year Calendar, Tuition Calendar, Travel Sheet for each class, Leave Slips, and School Supply List.
11. Copying Teacher lesson plans.
12. Checking and maintaining the email communication daily.
13. Making copies and preparing material for teachers daily.
14. Assisting with the monthly fire drills and tornado drills in the spring.
15. Providing biweekly attendance sheets and updating as necessary.
16. Maintaining attendance in Procare daily.
17. Calling different vendors for service of equipment or food products. Example (when we are out for week, I will call the milk man and or waste company to come on a different day and time or not at all.)
18. Distributing medication as needed.
19. Updating Allergies List as needed.
20. Preparing Menu every two weeks, consulting with Cook.
21. Updating to the school roster as needed.
22. Changing the fish tank filters monthly.
23. Finding materials for the teachers to color or cut on the internet.
24. Updating all employees’ information to school messenger, phone and address sheet.
25. Receiving visitor’s and entering them on visitor’s log.
26. Assisting with registration by copying papers, calling etc.
27. Making phone calls to parents when accidents or incidents occur.
28. Responsible for filing Student Forms.

EARLY CHILDHOOD PROGRAMMING:
• Assist with supervision of children at all times in classroom, restroom, and on playground.
• Assist with documentation of daily needs, reports, and observations.
• Assist in developing and implementing daily activities.
• Assist in an equal share of housekeeping, class preparation, ordered arrangement, appearance, decor, and learning environment of the classroom in cooperation with other staff.
• Assist in keeping in good conditions and using all material and equipment provided by the Center.
• Assist the lead teacher in carrying out goals, policies and activities designed to implement educational objectives.

INTERACTION WITH CHILDREN:
• Serve as a role model for the children in the areas of attitude, speech and daily actions.
• Treat each child with dignity and respect for his/her cultural background.
• Encourage children’s development in the areas of building self-confidence, problem solving, and taking responsibilities for their actions.
• Attend to the physical needs of the children, following established routines.
• Interact with each child on a daily basis through circle time, centers, snacks, lunchtime, playground, free play, etc.
• Be consistent, but lovingly enforce classroom discipline plan.
• Report changes in a child’s general health or behavior to the lead teacher as soon as they are noticed.
• Maintains confidentially on children and families.

RELATIONSHIP WITH PARENTS:
• Greet parents daily as they drop off and pick up with a warm smile and positive comment about their child.
• Assist in maintaining effective communication with parents through the daily reports.
• Inform the office when a child has been absent for more than two days, so they can check on him/her.

SUPPORTING STAFF RELATIONSHIP:
• Maintain and improve professional competence through CDA or CEU classes.
• Attend all schedule staff meetings and pre-planning sessions.
• Attend all in-services and trainings provided by the center.
• Accept and utilize comments and criticism from the lead teacher and the administration in a constructive way.
• Cooperate with all staff members, especially in the use of common areas and in sharing materials.
• Coordinate with your team mate to have all shifts covered in case of absences. Switch schedule if needed.

ADMINISTRATIVE FUNCTIONS:
• Turn in request forms for time off at least three working days in advance. Request will be approved on a first come basis.
• Excessive tardiness will be documented and may result in a written reprimand.
• Inform the administration of damage or broken material in classrooms and common areas.
• Assist it any other duties assigned by the Director.

PHYSICAL REQUIREMENTS:
• Ability to sit on the floor, bend at the waist, kneel and/or stoop down 75% of the time.
• Ability to safely lift or assist children weighting up to 50 lbs.
• Ability to multitask while supervising children inside and outside.
• Ability to respond to children’s needs, emergencies, and/or conflicts that might occur in the classroom, on the playground, and /or in common areas.
