The Campus Programming Director's Guide to Block Booking at an APCA Conference

Block booking is one of the few cost strategies in campus programming that also improves the student experience. Here is how it works, and how to prepare for it.

What it is. Block booking means coordinating with other institutions to route the same act through a short regional window: commonly two events in three days, three in five, or five in seven. Travel, lodging, and production costs are shared instead of carried by a single campus.

Why it matters. For a campus working from a fixed student-activity fee, shared costs can be the difference between one booking and a season of programming. APCA member schools can access up to 30% off conference delegate fees, and booking forms submitted onsite may unlock an additional 10% discount, with FTE-based discounts that can support smaller institutions.

How to prepare:

Bring your calendar, not just your wish list. Know your available dates, spaces, and technical capacity before you sit down.

Know your true budget. Include travel, production, staffing, and insurance, not only the performance fee.

Define two or three priorities. Decide what you actually need: a high-draw anchor, a specific audience, or a particular message.

Plan to move onsite. Bookings discussed in the room are easier to confirm while the potential routing partners are still present.

Game shows, inflatables, interactive attractions, and specialty performers are popular on campus because they invite students to participate, connect, and create shared memories: not simply watch from the audience. Research on on-campus leisure experiences and student connectedness supports the value of well-designed experiential programming in strengthening engagement and belonging.

Safety and risk management should guide the booking process from the beginning. Request a current certificate of insurance, confirm coverage limits and additional-insured requirements, review participant waivers when appropriate, and verify vendor credentials, training, equipment inspections, and emergency procedures. Your institutionโ€™s risk management, facilities, and student affairs teams should review requirements before the contract is finalized.

Plan the operational details early. Confirm electrical, power, sound, and amperage needs; identify adequate setup and activity space; account for weather and accessibility; and establish crowd-flow plans, capacity limits, barriers, and trained event staff. Build in time for load-in, testing, breaks, teardown, and schedule changes so the experience runs smoothly.

Audience fit matters, too. Choose an act that reflects your campus culture, student demographics, traditions, and comfort level. A successful novelty event is inclusive, accessible, age-appropriate, and engaging for the students you hope to reach.
