In Virginia, turning 18 means becoming a legal adult and taking responsibility for decisions related to education, healthcare, finances, and more. For some individuals with disabilities, additional support may be needed as they make this transition.

When emailing with your IEP team here are some tips on email communication.

Email Etiquette: Before You Hit Send

A few simple habits can help keep communication positive and productive.
Don’t Email When Angry – Draft it, step away, and reread it later. If possible, have someone else review before sending.

DON’T USE ALL CAPS – It can come across as shouting and distract from your message.

Keep It Positive – Avoid negative or personal comments. Consider how your words may affect your working relationship with your child’s team.

Protect Confidentiality – Clearly mark emails containing sensitive information as confidential.

Use “Reply All” Carefully – Only include people who need the information or can help with the situation.

Acknowledge Emails – Even a quick “I received your email and will follow up” helps keep communication open
Proofread Before Sending – Check spelling, grammar, names, dates, and your overall tone.

Be Mindful of Attachments – Large files may be difficult to receive or open. Use a link when possible or give the recipient advance notice.

Remember: The goal of an email isn’t just to deliver a message,it’s to support clear, respectful communication and positive collaboration.
