If there’s an important presentation or conversation, consider holding it on Zoom and recording it. This way, you can go back and revisit points that were brought up.

Also, you can cut pieces of it out to share with admins or upper management who couldn’t be in the room but could benefit from hearing the conversation second-hand.

Run on sentences create room for confusion, so stick to short and direct sentences that don’t go beyond one or two lines in an email.

When you’re listening to someone, try your best to mirror and reflect their facial expression, this acts as a way for your communicative partner to know that their message is getting across to you. This will also encourage people to open up to you more often.

The way we speak in a social setting is different from the way we communicate in a professional setting. When we speak to a friend or acquaintance, there’s a lot of context we take for granted.

In a less personal relationship, we have to be careful to articulate our point in a way that makes sense to a general audience. Be clear, be precise, and be aware of how your words come across. One good way to do this is by reading any written communication out loud.

When you speak, and people listen, say thank you! No one HAS to take the time to hear your message, so when they do, express your gratitude for their time and attention. This will go a long way to making your audience more attentive next time you have something to say.

Sometimes people don’t feel comfortable speaking up in a group setting, so encourage people to reach out to you one on one by communicating your availability and reminding people that you’re always around to field questions or concerns when and if they arise.

When you’re communicating with someone who isn’t showing a lot of compassion toward you, do your best to stay positive and avoid sinking down to their level. While it may be tempting to respond with something snarky, try and remind yourself that you don’t know their intention or situation, so try not to take anything personally and remain kind and compassionate whenever possible.

Although it might not seem like much, smiling at someone at the beginning of a conversation will help them feel more open to interacting with you and asking questions.

Having your phone be a part of an in-person conversation can come off as rude and disrespectful. Put down your phone and only use it if you need to check on information pertaining to the conversation.

In today’s workplace, a large amount of communication occurs via email and instant messaging, as a result, people expect a prompt response.

If you’re not able to keep up with your notifications, set an “away” message or draft an instant email response letting the sender know that you’re away from your desk but the email will be answered within the next 24 hours.

Using the wrong “there” can throw off your whole message and make you seem lazy and potentially untrustworthy. If you’re writing an important message that’s being sent out to more than one person, ask someone to proofread it and check for accuracy.

Some people struggle with apologizing unnecessarily.

Don’t apologize for having a question, but thank someone for answering it. Don’t apologize for needing clarification, but thank someone for providing it.
