Position Overview
The Sciotoville Community School District is seeking a dependable, organized, and student-focused Junior High/High School Secretary to support the daily operations of the junior high/high school office.
This position plays an important role in creating a welcoming, professional, and efficient school environment. The secretary works closely with administrators, teachers, staff, students, parents/guardians, and community members and is responsible for a broad range of administrative, student-service, attendance, records, communication, and office-support functions.
The successful candidate will demonstrate excellent communication and organizational skills, sound judgment, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced school environment.
Key Responsibilities
Front Office & School Operations
Greet and assist students, parents/guardians, staff, visitors, and members of the public in a professional and welcoming manner.
Answer and direct telephone calls, take messages, and respond to routine inquiries.
Maintain a professional, organized, and efficient school office.
Receive, prioritize, and distribute incoming mail and correspondence.
Maintain accurate files, records, databases, calendars, rosters, and other office documentation.
Order and maintain office supplies, equipment, and inventory.
Assist staff with the operation of office equipment and technology.
Coordinate building calendars, room reservations, meetings, and other activities.
Student Services & Records
Assist with enrollment, registration, transfers, withdrawals, and related student documentation.
Maintain accurate and confidential student records, transcripts, assessments, and other required documentation.
Assist with report cards, diplomas, awards, graduation materials, and other student recognition activities.
Respond to requests for student information in accordance with district procedures and applicable laws.
Process work permits, parking passes, lockers, student fees, and other student-related services.
Assist with counseling and student-services office operations as needed.
Handle sensitive student, family, medical, custody, and legal information with appropriate confidentiality.
Attendance & Student Support
Monitor and maintain student attendance records.
Make attendance-related calls and assist with required notifications and documentation.
Work with administrators and the attendance officer regarding attendance concerns and discipline.
Assist students who require attention in the school clinic when the school nurse is unavailable.
Maintain appropriate records related to attendance, releases, medical excuses, and other attendance requirements.
Administrative Support
Provide direct administrative support to the principal and other building administrators.
Maintain administrative calendars and assist with scheduling.
Prepare correspondence, newsletters, staff bulletins, reports, forms, and other communications.
Assist with budgets, requisitions, purchase orders, invoices, deposits, and other routine financial/administrative functions.
Communicate with vendors and assist with building-related services.
Supervise and provide direction to student office helpers.
Assist with school events, including graduation and other special programs.
Support substitute/absence reporting and other staff scheduling functions.
Perform other duties as assigned by administration.

Required Qualifications
High school diploma or equivalent.
Ability to successfully complete required typing, word-processing, and grammar assessments, as applicable.
Working knowledge of basic office procedures and common office equipment.
Ability to effectively use computers, email, word processing, spreadsheets, and other typical office applications.
Strong oral and written communication skills.
Ability to perform basic mathematical computations.
Ability to identify problems, gather information, establish facts, and reach appropriate conclusions.
Ability to maintain strict confidentiality regarding student, employee, and school information.
Successful completion of required BCI and FBI background checks.
Previous secretarial or administrative experience, particularly in a school setting, is preferred.

Frequent use of hands and fingers for computer keyboarding, typing, writing, and other office tasks.
Regular periods of sitting, standing, walking, hearing, seeing, reading, speaking, reaching, and stretching.

Ability to lift, carry, push, and pull supplies and/or equipment weighing up to 50 pounds.
Occasional work extending beyond the normal workday.
Occasional exposure to blood, bodily fluids, and tissue.
Occasional operation of a vehicle under inclement weather conditions.
Occasional interaction with students or adults who may be upset, disruptive, or unruly.
