Here's a question every business owner should occasionally ask:

If I couldn't work tomorrow, what would stop?

Not forever.

Just tomorrow.

Would someone know how to follow up with a potential client?

Could they find the information they need?

Would appointments still happen?

Could customer questions be answered?

Would anyone know what YOU normally do next?

If the answer is:

“Well...I'd have to explain it first.”

Pay attention to that.

Because sometimes what looks like a productivity problem is really an owner-dependency problem.

The solution isn't automatically AI.

It might be documentation.

A clearer workflow.

Defined responsibilities.

A standard operating procedure.

And yes—once those pieces exist, AI and automation may help make the system even stronger.

But technology shouldn't be expected to understand a process the business itself hasn't defined.

That's worth documenting.

A business can have ChatGPT, automation tools, AI assistants, and the latest software...

…and still NOT be ready for AI.

Because AI readiness isn't just about technology.

It's also about the business underneath it.

Ask yourself:

→ Are your processes clear?

→ Is important information documented—or does it live in someone's head?

→ Do people know who is responsible for what?

→ Are you protecting sensitive business and customer information?

→ Can you tell whether the technology is actually improving anything?

AI can make a strong system more powerful.

But it can also expose every crack that was already there.

That's why I don't believe responsible AI adoption begins with:

“Which tool should we buy?”

It begins with:

“Is the business ready for what we're about to introduce?”

Sometimes the smartest AI decision is not implementing AI yet.

It's strengthening the foundation first.

Business → Systems → AI.

That's not anti-AI.

That's how we make AI useful.

You don't have to know exactly what's wrong with your business before asking for help.

Sometimes all you know is:

“This should not be this hard.”

You're spending too much time on something that should take 20 minutes.

Information is scattered everywhere.

Follow-ups aren't happening consistently.

You're paying for technology you barely use.

You've tried AI, but you're still doing most things manually.

Or maybe nothing is technically “broken”...

but the business feels harder to operate than it should.

That's worth paying attention to.

Because the first step isn't always finding another tool.

Sometimes it's having someone look at the business with fresh eyes and ask the questions that uncover what's actually happening.

What are we trying to accomplish?

What's getting in the way?

Is this a business problem, a systems problem, or a place where AI could genuinely help?

That's the kind of work I enjoy.

I don't start with:

“Which AI tool should we install?”

I start with:

“Show me what's not working.”

Then we figure out what belongs next.

Before you automate a task, ask yourself one uncomfortable question:

Should we even be doing this in the first place?

We hear so much about using AI to work faster.

Write faster.
Respond faster.
Create faster.
Automate faster.

But speed isn't always the answer.

If a process is confusing, automating it can make the confusion happen faster.

If a task doesn't create value, automating it doesn't suddenly make it valuable.

And if you don't understand WHY something isn't working, adding AI may only hide the real problem.

This is why I believe AI implementation should begin with the business—not the technology.

Before asking:

“What can AI automate?”

Try asking:

→ Why do we do this?
→ Where is the bottleneck?
→ What outcome are we trying to improve?
→ Does this process need automation—or does it need to be redesigned?

Sometimes AI is the answer.

Sometimes a better system is the answer.

And sometimes the smartest thing you can do is stop doing something altogether.

Business → Systems → AI.

That's how I approach transformation.

Some of the problems you're trying to solve with AI aren't AI problems.

They're business problems wearing an AI hat.

A missed follow-up might be a process problem.

Inconsistent content might be a planning problem.

Poor customer response might be a workflow problem.

Low conversions might be a messaging problem.

AI may help with each of those.

But first, you have to diagnose the right problem.

Otherwise, you're simply automating the confusion.

This is one reason I believe businesses should assess before they implement.

Not:

“What can AI do?”

But:

“What does this business need?”

That's a very different conversation.

What is one business process you would love to make easier?

Before you buy another AI tool, answer these 3 questions:

1. What business problem am I actually trying to solve?

2. What part of the current process is not working?

3. What result would make this investment worthwhile?

Because AI isn't the starting point.

The business is.

A new tool won't fix an unclear process.

Automation won't fix a decision that hasn't been made.

And a better prompt won't fix a business problem you haven't properly identified.

My approach is simple:

Business → Systems → AI.

Understand the business first.
Strengthen the system second.
Then decide where AI actually belongs.

That's how AI becomes useful instead of becoming one more subscription sitting on your credit card.

Quick business audit:

What is something you do EVERY week that makes you think:

“There has GOT to be an easier way to do this.”

Maybe it's:

→ answering the same questions
→ following up with leads
→ creating content
→ organizing client information
→ writing emails
→ managing documents
→ researching information

Those repeated little tasks add up.

And this is where AI can become useful—not as another shiny tool, but as practical support.

AI can help you work faster.

But faster in the wrong direction is still the wrong direction.

Before I recommend an AI tool, automation, or workflow to a business owner, I want to understand:

What are you actually trying to accomplish?

Where is the business getting stuck?

What is taking too much time?

What should NOT be automated?

Because sometimes the answer is AI.

Sometimes it’s a better process.

And sometimes it’s simply making a business decision that has been sitting unresolved for too long.

That’s why I don’t believe in adding AI just because we can.

The goal is to make the business work better.

That’s the difference between using AI and using AI strategically.
