The Ocean Springs Greyhounds Tennis Booster Club By-Laws
Article I. This organization shall be known as The Ocean Springs Greyhounds Tennis Booster Club, hereinafter called the OSHS Tennis Booster’s. prings, Mississippi 39564. Article II. OBJECTIVES
Section 2.01. The objectives of the OSHS Tennis Booster’s are to promote public awareness of and support for the advancement of the Ocean Springs tennis programs in the attendance area for middle school and high school men and women specifically by: a) directing and developing enthusiasm towards this effort, b) promoting and recognizing student achievement; c) promoting and recognizing individual and team athletic participation and excellence; and d) providing the financial assistance necessary to support the program operations in terms of supplies, equipment, and end of season recognition banquet. Section 2.02. It is “not” the intent of the OSHS Tennis Booster’s to direct or criticize coaches, the director of athletics or their assistants or staff with the specific intent to effect their removal or replacement at any time. Section 2.03. It is the intent that all teams and players receive equal consideration and benefit from the efforts, support, and contributions of the OSHS Tennis Booster’s. Section 2.04. It is the intent that OSHS Tennis Booster’s promote good sportsmanship for the welfare of all athletes and welcome and encourage goodwill among visiting tennis teams, coaches, referees, and spectators. Section 2.05. No player or parent shall engage in negativity, bullying, cyber bullying against any player, parent, or coaches. In the event of any negativity against anyone will be subject to disciplinary action. Section 2.06. The objective of these By-Laws is to establish general operating procedures for the OSHS Tennis Booster’s program. Article III. MEMBERSHIP
Section 3.01. The membership shall consist of all interested persons with a student-athlete attending Ocean Springs Middle or High School at any time. Section 3.02. Alumni of Ocean Springs Middle or High School at any time. Section 3.03. Any person of post-high school age interested in furthering the purpose of OSHS Tennis Booster’s organization and program objectives. Section 3.04. Regular membership dues shall be set annually at the beginning of the new tennis season’s school year by the OSHS Tennis Booster’s. The membership cost will cover the tennis banquet at the conclusion of the tennis season, at no cost for the participating tennis players (s). Section 3.05. OSHS Tennis Booster’s organization members shall be recognized as those having an address of record, filed with the Secretary, or having paid the dues set by the OSHS Tennis Booster’s. Article IV. OFFICERS AND RESPONSIBILITIES
Section 4.01. The volunteer/appointed and qualified officers of the OSHS Tennis Booster’s Club shall be a President, Vice-President, Secretary, and Treasurer with duties as specified hereinafter: The governing body of the club shall be comprised of the (4) four elected officers, head coach and the assistant coach of the OSHS tennis team. The coaches will serve in an advisory capacity only and are not eligible to vote. The officers shall have the power to act for the Club between regular meetings. The officers shall be elected from the parents of the tennis players by way of a vote. Each officer is elected to (1) one year term and is eligible for a one year consecutive reelection to the same office. If no other candidate is available for an office at election time the current officer may retain office. It is desirable that no person shall serve more than a (2) two consecutive years in the same office unless voted in by the parents of the tennis players. No one employed by OSHS District is eligible to be an officer. Should an office become vacant during the term it will be filled by a majority vote of the remaining board. If the office of the President becomes vacant, the Vice-President will assume the office. An officer may be removed from office by a two-thirds vote of the Club officers. (A) The President shall preside at all meetings, direct, and generally oversee all OSHS Tennis Booster’s Club activities. He/she shall maintain any continuity of program management and transfer those to his/her successor at the expiration of his/her volunteer/appointment tenure. The President serves as the liaison to the coaches, the director of athletics or their assistants or staff. (B) The Vice-President shall assume all of the duties of the President in his/her absence. (C) The Secretary shall keep records of the proceeding of meetings, maintain a file on all correspondence, and supply notices to OSHS Tennis Booster’s Club members. He/she shall maintain orderly records and transfer those to his/her successor at the expiration of his/her volunteer/appointment tenure. The secretary shall be responsible for all notices and advertisements in the news media and all other areas as directed by the Club. (D) The Treasurer shall receive, deposit and account for the current assets of the club; have charge of all funds, securities and financial records of the club; maintain appropriate records and be responsible for the collection of dues and assessments; make payments for all club liabilities; collect and disburse all OSHS Tennis Booster’s Club funds as recommended by the Vice-President and approved by the President. He/she shall maintain a bank account and a set of books covering all financial operations. He/she shall present a report at each regular meeting covering:
1) The assets of the Club (to include itemized income and expenses)
2) Transactions since last report (to include itemized income and expenses)
He/she shall within two weeks of the expiration of his/her volunteer/appointment tenure, turn over all records and monies, receipts, and drafts in his/her possession, belonging to the Club, to his/her successor on review by the Vice-President and approval by the President. (E) Only Members in good standing shall be eligible to serve as Officers of the Club. At any time an officer may be called upon by the coaches to assistant. Section 4.02. The tenure of President, Vice-President, Secretary, and Treasurer with duties shall be for the specified period of the administration year, or for the unexpired portion thereof, for which they have been a volunteer/appointed and qualified. Section 4.03. The President, Vice-President, Secretary, and Treasurer and any participating member shall constitute a quorum for the transaction of any business meeting. Article V. MANAGEMENT
Section 5.01. The OSHS Tennis Booster’s shall have the power to regulate its own proceedings. Section 5.02. The OSHS Tennis Booster’s may accept gifts of money or other things of value for and in the name of the club. Investment and disbursement of such funds by the Treasurer shall be subject as recommended by the Vice-President and approved by the President. Article VI. MEETINGS
Section 6.01. Club meetings shall be set as recommended by the Coaches with open participation of members. Section 6.02. Regular membership planning meeting shall be set annually at the beginning of the new tennis season by the OSHS Tennis Booster’s. This meeting will be held the within one month following tennis tryouts; there will be a end of season meeting to give final reports with open participation of members. Section 6.03. Special business meetings may be called by the President, Vice-President, Secretary, and Treasurer and any participating member. Article VII. COMMITTEES
Section 7.01. Special and Standing Committees shall be as recommended by the Vice-President and approved by the President with open participation of members. Section 7.02. The following are Standing Committees of the OSHS Tennis Booster’s:
(A) Membership
(B) Concession Stand
(C) Fund Raising
(D) Finance
(E) Annual Banquet
(F) Community Relations
Section 7.03. The areas of responsibility and duties of Standing or Special Committees shall be set by the President, Vice-President or Committee Chair and participating members. Article VIII. BY-LAWS
Section 8.01. The OSHS Tennis Booster’s shall use these By-Laws for the proper management of the club’s affairs. Section 8.02. A copy of these By-Laws will be provided for each parent member and each player. Article IX. AMENDMENTS
Section 9.01. These By-Laws may be amended at any meeting by a simple majority of the members present. There shall be no voting on an amendment unless a copy of the amendment is presented to the membership at the regular meeting prior to the meeting it is to be voted on. Article X. DISCONTINUANCE
Section 10.01. This club shall not be discontinued unless three-fourths of the members shall vote for such discontinuance. Section 10.02. If for any reason the club shall be dissolved, the funds and assets of the club shall be donated to the Ocean Springs High School Athletic Department for the Middle School and High School to receive equal consideration and benefit from the efforts, support, and contributions of the OSHS Tennis Booster’s.
