Thank you to all who helped support the Sunset Hill PTSO in any way.

Here are our final meeting minutes, with the official vote to dissolve the organization. The bank account has been zero’s out, and all funds have been spent on Sunset Hill teachers and staff (other than operational costs).

The Sunset Hill PTSO extends its sincere appreciation to everyone who applied for a grant. All applications have been carefully reviewed, processed, and applicants have been notified via email. We are also pleased to share that several recipients have already begun receiving their requested items.

In total, 34 were funded either partially or in full. All recipients were located at Sunset Hill Elementary. The total value of requested items exceeded $19,000, and with the funds available, the PTSO was able to award just over $11,000 in grants—directly supporting Sunset Hill classrooms.

We are incredibly proud to provide this level of support to our teachers and staff, fulfilling our commitment to reinvest fundraising efforts back into the classroom.

Our PTSO officers—who are all dedicated, unpaid volunteers—have contributed hundreds of hours this year organizing and leading fundraising initiatives. We are grateful for the opportunity to ensure these funds directly benefit our school community, as intended.

As we continue to ensure that all expenditures remain fully aligned with IRS guidelines for a 501(c)(3) organization, we would like to take a moment to address ongoing concerns and highlight the significant impact our group achieved during the brief three months we were fully operational. Our goal now, as it has always been, is to support the teachers and staff at Sunset Hill. That commitment remains unchanged.

In that limited timeframe, we were able to provide meaningful support across multiple areas of the school community. Our contributions included:
• Meals for teachers and staff during professional development days and conference nights
• Lost and found racks and cubbies
• Recess sports equipment and storage racks
• Supplies and materials for Bronco Club
• Over $500 in consumable materials for the art department
• A comparable donation of consumable goods and games for Bronco Club
• Construction paper distributed to all teachers
• Microwaves, snacks, beverages, and school supplies for the teacher lounge at the start of the year
• Over $500 in materials for the Functional Skills classrooms
• A substantial donation of needed items to the school nurse

Many of these purchases were funded directly through PTSO resources, and a significant number of additional items were personally donated by PTSO members.

Additionally, proceeds from multiple restaurant fundraiser nights, as well as the school store, were retained by the school and deposited into its activity account. The combined total of these funds exceeded $1,500 and remains with the school to support campus initiatives.

At the administration’s request to continue Popcorn Fridays on short notice after the PTSO was no longer operating within the school, the PTSO purchased a new popcorn machine along with all necessary supplies to sustain the program for the remainder of the school year. We were glad to fulfill this request to ensure continuity for students and staff.

In addition to reflecting on what has already been accomplished, we would also like to outline our plans moving forward.
Site administration did provide us with a list of requested items. Several items on that list are feasible and within our scope, and we do intend to provide support in those areas, including butcher paper, raincoats, construction paper, and UFLI boards.

However, there were also requests that fall outside the practical scope and capacity of our organization. These include furniture purchases (which typically require district coordination and specifications), color printer ink (district-provided), bus transportation charges (which cannot be prepaid in the same manner as physical goods), iPads and other technology devices (regulated and supplied through the district), a marquee sign (estimated at over $50,000), and playground shade structures (also exceeding $50,000 and beyond our overall budget).

While we are committed to incorporating the reasonable and feasible portions of the administration’s request, we also believe it is important to hear directly from teachers and staff. We are aware that not all teachers were consulted in the development of the original list supplied to us by the administration. To ensure equity and transparency, the grant applications will provide an opportunity for all Sunset Hill teachers and employees to submit requests reflecting their most pressing needs.
Following the submission process, we will meet to review all requests and allocate remaining resources in a manner that is fair, equitable, and aligned with our mission and budgetary limitations.

Once all funds have been distributed, a full financial accounting will be prepared by The Community Firm and made available for review by the school community.

We remain committed to responsible stewardship, transparency, and supporting Sunset Hill in meaningful and sustainable ways.

ANNOUNCEMENT OF MANAGEMENT

Since October of 2025 we understand there has been some confusion as to the focus and direction of the Sunset Hill PTSO. The Board of Directors was taken back by the Mustang Public Schools decision to no longer allow the PTSO to operate within the school building.

After time to reflect on a positive path forward, the Sunset Hill PTSO Board of Directors met and has engaged The Community Firm to support the organization’s financial management and strengthen long‑term accountability. This partnership includes assistance with day‑to‑day financial processes, recordkeeping, and an independent audit of PTSO financial records to ensure transparency and accuracy for our school community.

What this means for families and supporters
• The PTSO continues to operate as a 501(c)(3) nonprofit, fully independent from the Mustang Public School District.
• The Community Firm provides professional oversight to help safeguard donor funds, streamline reporting, and maintain compliance with nonprofit 501c3 standards.
• This collaboration reinforces the PTSO’s commitment to responsible stewardship, clear communication, and trustworthy financial practices.
Why this matters
A strong financial foundation allows the PTSO to focus on what matters most—supporting students, teachers, and classrooms through grants, events, and community‑building initiatives. Independent management ensures that every contribution is handled with care and aligned with the mission of enriching the Sunset Hill Elementary experience.

Attached you will find a copy of their engagement letter to the school with supporting documents with regard to their auditing work as it relates to the development and implementation of the PTSO at Sunset Hill Elementary. The Community Firm is completing a financial audit of the organization and will compile a report to be published when completed.

**There have been a lot of questions and concerns shared with us on how the funds will be spent. The organization hired to run the grant process uses a generalized format, which is why there were "priority levels". We have asked for a correction and the changes have been made to reflect that grants will only be for Sunset Hill Elementary. The PTSO is fully planning on spending all money raised at Sunset Hill, on Sunset Hill. The grant process is there simply to make sure as many teacher requests as possible are fulfilled.

To reassure Sunset Hill Educators and families, all funds will be used on and for Sunset Hill Elementary.
If there are further questions/concerns, please plan to attend the monthly meeting.

Hello All! Our Treasurer asked me to post all past and to date meeting minutes. Meeting Minutes are always available to the public. If you missed a meeting or had a question to what occurred in a meeting, the minutes are a great way to catch up. Due to changes of platforms and confusion to some going from one GroupMe to another they may have missed access to the Meeting Minutes. So I am posting them on the Sunset Hill PTSO Officers GroupMe platform and Sunset Hill PTSO Volunteers GroupMe platform. At the moment we do not have the capability to post the minutes pdf's on this FB Page, so please refer to the GroupMe pages for that info. In the mean time I wish you all a happy holiday break!

We want to take a minute and thank everyone for helping us get the school started on the right foot with your help we were able to provide so much in such a short period of time!
Teacher appreciation gifts, meals, soccer balls, footballs, basketballs, storage racks, lost and found bins, card stock and office supplies, art supplies, nurse supplies, SPED supplies and the list goes on.
We've put 100s of hours of hard work to support the teachers and students and we couldn't have done it without the support from you.

That being said the school administration has decided to restructure the Sunset Hill Volunteer Group. The current Groupme and this FB page will be deleted on November 1, 2025.
All funds raised to date will stay supporting the school, students and staff.
The Sunset administration staff will be creating a new volunteer Groupme if you wish to continue to support the school in a volunteer capacity please join that GroupMe.
