I spent eighteen years in oil and gas before any of this.

What carried over is simple. Information has to be organized before a system can use it.

That's the whole game here.

An engine reading your site is doing what a new hire does on day one.

What does this practice treat, who does it treat, where, and what happens if I send someone.

If those answers take piecing together from a few different pages, it moves on, same as a new hire would give up and ask somebody.

Marketing makes the words good.

This is about whether the answers are findable. That's a different job, and it's the one I've done my whole career.

You probably don't need new words. You need them written out plainly, in one place.

Good news, and I'd still want to know more about it.

Something on your site told me you were worth naming.

Could be your service pages, could be how your specialties are written, could be something you did three years ago and forgot.

You don't know, so you can't do it again on purpose.

That's what I'd want to figure out.

Same as when a patient says a colleague sent her, and you ask which colleague, because then you know where to put your attention.

Nobody in this space says this part out loud.

When automation breaks, you find out the same day. The reminder does not send. The tag does not apply. The client emails you.

When AI is wrong, it is wrong and plausible at the same time. Nothing alerts you. The error moves downstream into a client summary or an intake note, and it sits there until somebody reads it closely.

So every AI step needs a named human in the loop, and every AI step you add is one more review job for somebody on your team. Price the review time in before you buy.

Save this one and hold your own stack against it.

Automation covers the deterministic layer.

Intake routing, appointment reminders, tagging between Practice Better and GoHighLevel, invoice follow-up, onboarding triggers, task creation when a status changes.

AI covers the judgment layer.

First-pass drafting, summarizing long client notes for a human to review, sorting open-ended intake answers into themes, inbox triage.

Notice the second list is shorter. Most of the work inside a practice is deterministic, and most of it is unwritten.

The order matters more than the tool.

When a process lives in your head, adding AI does not clean it up. It produces output at speed with no rule underneath it, and now you have two things to fix instead of one.

So the sequence I use with clients: write the rule down, automate the deterministic layer, then put AI on the part needing judgment. Tagging between Practice Better and GoHighLevel first. Drafting and summarizing second.

This is a smaller fix than it feels like. Most of the time it is one process, written down, in an afternoon.

Before I look at which platform to move to, I want to know what happens to the patients already inside the old one.

Sometimes the switch is right.

Sometimes what you have is closer than it feels, and the gap is one connection nobody ever built between two systems you're already paying for.

Either way, these five get decided during the migration. The only choice is whether you decide them ahead of time or find out afterward.
