The Josef Korbel School seeks an energetic and experienced program manager to support the Institute for Comparative and Regional Studies (ICRS), its programs, as well as research-related activities school-wide. The ideal candidate will have strong expertise in project management, knowledge and education in public policy or a related field, be task-oriented and detail-conscious, and have excellent written and oral communication skills. The positions are key to the school’s ability to advance engaged scholarship on a range of public policy issues while bringing a greater alignment between the school’s academic mission and administrative support.
Position Summary
The program manager will serve as the administrative point-person for a diverse portfolio of programs and activities and contribute to collaborative initiatives as assigned to support the research and outreach efforts of the Korbel School and its faculty.
The program manager will work closely with the center and institute Directors, the Associate Dean for Research and Faculty, affiliated faculty, University of Denver central administration, and other staff to ensure that the operational and logistical needs of ICRS and its projects are met. This includes research project implementation and oversight, oversight and management of speaker series, conferences and workshops, communication with internal and external constituents, as well as grant-identification, grant-writing, budgeting, and use of InfoEd. The program managers will also collaborate with other research center support staff to coordinate events, communications, publications, and outreach efforts across research centers and institutes, and to integrate research-related activities into the school’s other curricular, co-curricular and public engagement efforts.
The continuation of this position is dependent on the availability of gift and grant funding.
Essential Functions
Serve as the primary support person for the center and institute, its faculty director, affiliated faculty, and external partners.
Support all projects, events, communications, grants, and finances, as well as facilitate coordination between thematic programs. In this capacity, the program manager will be responsible for:
Coordinating and supporting each team, advisory committees, and student and practitioner-in-residence programs.
Planning and executing events, workshops, meetings with civil society groups, government officials, academics, and others.
The program manager conducts outreach to speakers, manages event budgets and accounting, and implements all event logistics and publicity.
Contributing to external and internal communications, including by drafting reports; event announcements and newsletters; regularly managing and updating the website and social media; maintaining listservs; and responding to inquiries.
Tracking budgets, processing invoices; reconciling expenses, and liaising with the Schools Business Office.
Managing and tracking grants and contracts using InfoEd Grants and Contracts Suite.
Monitoring of research projects and working with principal investigators to ensure timely and accurate reporting to sponsors.
Supervising student employees and managing employee timecards.
Liaising with student groups, other units, and university offices on programming related to the Institutes mission.
Provide support for cross-cutting initiatives and programs, and for large events and activities as required.
Additional assistance to the Director and faculty as needed.
Knowledge, Skills, And Abilities
Ability to accurately prioritize multiple projects and meet deadlines.
Extraordinary organization and impeccable attention to detail.
Strong initiative and ability to be self-motivated and directed.
Strong interpersonal skills to work effectively with a diverse set of constituents in a team-oriented, collaborative environment.
Ability to exercise independent judgment in a fast-paced educational setting.
Excellent writing and editorial skills.
Ability to professionally represent the Korbel School to high-profile scholars and policymakers.
Ability to interpret financial and budget data for use in general reporting.
Excellent skills in word processing, spreadsheet, and database management.
Proficiency in Microsoft Office, Outlook, and Google applications as well as light HTML coding, and the willingness to learn new systems.
Required Qualifications
Bachelor's degree or equivalent combination of education and experience.
Three (3) years of relevant previous experience.
Experience planning events and providing excellent customer service.
Experience managing budgets and making travel arrangements for others.
Preferred Qualifications
Master’s degree in a related field or equivalent.
Proven skills in network building, stakeholder outreach and engagement.
Experience developing publications, communications, and marketing materials, including contact databases, websites, and social media campaigns.
Knowledge of Banner Financial System.
Experience working with Event Management Software (25Live).
Experience in grant seeking, tracking, and management.
Working Environment
Standard office environment.
Unexpected interruptions occur often, and stress level is moderate to high.
Noise level is quiet to moderate.
Physical Activities
Ability to sit in front of a computer for an extended period.
Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.
