🔷About Coastal Bend Controls:
Coastal Bend Controls is a locally operated company serving the Coastal Bend region with building automation, and HVAC controls. We take pride in responsive service, technical excellence, and long-standing relationships with our clients. We are looking for a dependable and driven Office Manager to serve as the operational backbone of our business.
🔷POSITION OVERVIEW:
The Office Manager will be responsible for the day-to-day administrative, financial, and operational functions of the company. This is a multi-faceted role requiring someone who is organized, self-directed, and comfortable working across accounting, client account management, logistics coordination, and general business operations. The right candidate will be a key member of our small team and will have significant impact on how the business runs.
Key Responsibilities
📌 Accounting and Financial Management:
• Manage accounts payable and accounts receivable
• Process invoices, purchase orders, and vendor payments
• Reconcile bank statements and maintain accurate financial records
• Assist with payroll processing and expense tracking
• Prepare basic financial reports and support end-of-month and year-end close activities
📌 Account and Client Management:
• Serve as a primary point of contact for client accounts and service agreements
• Track project billing, contract renewals, and service schedules
• Follow up on outstanding balances and maintain positive client relationships
• Coordinate with field technicians and project managers to keep client records current
📌 Logistics and Procurement:
• Coordinate scheduling of service calls, installations, and project timelines
• Manage ordering and receipt of parts, equipment, and supplies
• Track inventory levels and communicate supply needs to management
• Liaise with vendors, subcontractors, and suppliers to ensure timely delivery
📌 Operations and Administration:
• Maintain company files, contracts, licenses, and compliance documentation
• Support HR administrative tasks including onboarding paperwork and personnel records
• Manage office communications including phone, email, and mail
• Identify and implement process improvements to increase office efficiency
Qualifications
• High school diploma or equivalent required; associate or bachelor’s degree in business, accounting, or related field preferred
• Minimum two years of experience in an office management, administrative, or bookkeeping role
• Proficiency in QuickBooks Online accounting software
• Strong working knowledge of Microsoft Office, especially Excel and Word
• Excellent written and verbal communication skills
• Ability to manage multiple priorities and meet deadlines with minimal supervision
• Experience in a trades, construction, mechanical, or service industry is a plus
