Back then, my days were filled with managing calendars, coordinating meetings, and ensuring smooth office operations. Fast forward to today, and I’m the proud owner of a training company specializing in productivity technology, including Microsoft 365.

The role of administrative professionals has evolved tremendously over the years. From gatekeepers to strategic partners, you all play a crucial role in keeping organizations running smoothly. Are you new to Microsoft Copilot? Do you need to learn how to use it? It will definitely increase your productivity.

It’s integrated for free in Microsoft windows and it is a paid add-on in Microsoft 365 for Personal and Business subscriptions.

You will need to know how to write Copilot prompts for effective use. If this is all new to you, then the class I’m teaching online on March 19 will cut your learning curve.

🤖Understanding the differences between an Alexa or Siri commands and writing AI prompts. There is a difference. They are not the same.

When writing AI prompts, like Copilot and ChatGPT and voicing the prompts, consider the following points:

Alexa Commands (often referred to as Alex commands) are specific voice instructions given to Amazon’s virtual assistant, Alexa. Users interact with Alexa by speaking commands aloud. It cannot produce content, write, of help you brainstorm ideas.

These commands trigger predefined actions or responses from Alexa. For example, saying “Alexa, play my favorite song” instructs Alexa to start playing the user’s preferred music.

Alex commands are typically short, specific, and tailored to Alexa’s capabilities.

Whereas writing AI prompts are input messages provided to artificial intelligence systems (such as language models or chatbots) to elicit specific responses.

Unlike Alex commands, which are often voice-based, writing AI prompts involves crafting text-based instructions. The quality of AI responses depends on how well the prompts are designed. Effective prompts provide context, specificity, and relevant information to guide the AI model.

Voicing Prompts
Voicing the prompts refers to expressing the prompts verbally, especially when interacting with voice-enabled AI systems.

While writing AI prompts involves typing out instructions, voicing the prompts means speaking them aloud. For instance, when using a voice-activated chatbot, users can voice their prompts instead of typing them.

In summary:
* Alexa commands are specific voice instructions for Alexa.

* Writing AI prompts involves creating text-based instructions for AI systems.

* Voicing the prompts refers to speaking the prompts aloud during interactions.

We want to help you get time zone savvy in your written communications. Sometimes, it’s hard to remember when to write for example, EDT versus EST.

Since spring forward is coming, we have referenced a wonderful article from All Things Admin - An Admin’s Guide to Understanding Daylight Saving Time & Time Zones.

Per Julie Perrine…

“For instance, do you know the difference between EST and EDT? Do you know that Hawaii and most of Arizona doesn’t observe Daylight Saving Time?

There are 24 regions of the world, and 39 different local times in use. Keeping them straight can be a challenge.

To help you do that, we’ve come up with some resources on DST and time zones you should bookmark and reference any time you need to list multiple time zones.”

In a world where technology continually shapes our work and daily lives, staying ahead of the curve is crucial. AI, in particular, stands at the forefront of this evolving landscape. Given its significance and considering how many of us rely on Microsoft Office for our day-to-day tasks, Copilot emerges as the perfect starting point for our first virtual roundtable.

Copilot options are confusing. You see Copilot pop up in Bing, Microsoft Edge browser, and now there is the Copilot phone app. On top of all of that you read and hear about paid plans for Microsoft 365 subscribers - Copilot versus Copilot Pro. I am going to cover all of this in the first roundtable chat. I will be teaching you various ways to use the free Copilot available to all.

The length of the chat will be 30 to 45 minutes. Which length do you prefer?

The date and time for the first session in March is being finalized. Space is limited, so let us know your interest early to secure your spot at the table.

Ways to prevent procrastination. This is a perfect for you and that’s why I’ve chosen it.

Keep tasks in perspective:
“I can get through this.”

Focus on your “why”:
Visualize the long-term benefits of completing tasks.

Know yourself: Reflect on what triggers your procrastination.

Practice effective time management:
Break down tasks and prioritize.

Change your perspective:
Embrace tasks as opportunities for growth.

Create a productive environment:
Find a focused workspace.

One of the things that contributes to procrastinating is the feeling of overwhelm from the number of task you have to complete. It’s possible that some of those task could be taken on by an AI helper, like the Copilot app.

The Copilot app is free for download and it is a productivity app. I encourage you to download it and try it out.

Excel Macros.
With the click of a button have Microsoft Excel perform repetitive tasks. You can do so by creating macros using the Excel macro recorder.

Think about how many steps you take in various task that you do in Microsoft Excel that could be contained within a single click.

For example:
1. Creating Pivot Tables
2. Formatting
3. Cleaning up data
4. Creating a formula
5. Combining multiple spreadsheets into a summary sheet.
6. Creating Charts

No programming is needed to learn how to use the Excel macro recorder.
