大家晚安,這邊是生演所學會。
所學會在此次生科院聯合壁報比賽的角色為生演所的協辦單位,而對於後續未以信件主動或請所辦轉發通知口頭報告日期與時程,使部分同學未能及早得知消息,而必須於前一天趕出報告內容,所學會在此向受影響的同學表達歉意。本會除了盡速聯繫演講者外,亦也提供如演講當天調換至更末場次,或是準備由我們去與seminar授課教師群交涉能否利用課堂時間報告等替代方案,以祈能使受影響同學能獲得更多的準備時間。即便是在突如其來的情況之下,同學依然能在極短的時間內準備出優良的演講,所學會感到相當敬佩,亦深感對同學的虧欠。
針對此次的疏失,所學會作為學生全體與教師間的溝通橋樑以及維護學生權益的角色,將會進行以下改善及權益維護行動:
1. 所學會將於未來在協助所上辦理任何與畢業條件相關活動時,透過(1) 寄信通知 (2) 臉書粉絲專頁「臺大生演所學生會 NTU IEEB Student Association」 (3) 臉書社團「台大生態演化所 NTU IEEB」公告 ,此外亦也將透過學生代表傳遞訊息,增加資訊傳遞管道,以避免類似事件再次發生。
2. 所學會將改善舉辦活動時與其他合作單位(如所辦)的溝通,及早確定活動流程及細節,以更妥善的安排細節。
3. 所學會將於本週五中午的所務會議中,提案與所上師長進行關於畢業條件相關活動的適當權責分工之討論。
上述方式若有未盡之處,也歡迎各位同學在底下留言或私訊所學會帳號提出建議。
所學會再次對於能力未盡,對同學造成之傷害深感抱歉,未來將透過行動尋求改善,以致力於所學會設立的初衷,此外我們亦提醒各位同學若遇到畢業門檻相關問題時,可以透過多方管道(實驗室代表、寄信給所學會、私訊粉專、於社團發文及洽詢所辦人員等)確認各項活動之期程與細節,透過直接溝通來解決問題,以更好的維護自身權益。
* 補充說明1: 台大生態演化所 NTU IEEB 臉書社團曾由當時管理員於2022年1月7日發文指出由於臉書社團規範的改變,任何人皆可不須經過審核就加入「公開社團」,而有大量不明帳號加入,提請當時的社團成員表決是否變更為私密社團,並於投票結束後改為私密社團。所學會在構思改善方式時,亦有想到是否可以再次將社團轉變為公開社團,然查臉書後續又有社團規範改變,以保護私密社團成員之隱私不被外流,目前僅能透過成員加入與邀請等方式進行變更,然已無法再轉變為公開社團。
* 補充說明2: 為提升資訊傳遞效率以及學生自治參與,於本學期初開始,所長已寄信向各專任、合聘、兼任教授,基於前學期所務會議之結論,提供一名生演所學生做為實驗室代表,若該實驗室僅有一名生演所學生時,該同學即為實驗室代表。至今所學會已透過信件聯繫各代表於 4/19 和 5/03 進行兩場學生代表大會,會議中亦有提到本次壁報展、撥穗典禮等相關重要時程。倘若學生代表不克出席,我們亦樂意提供會議紀錄與資料做為參考,然我們鼓勵學生代表能踴躍出席才能對重大事項有第一手的消息。有鑑於本次的溝通問題茲事體大,為確保後續消息能夠盡速通達,今後所學會所寄發之學生代表大會通知亦將傳送副本給各教授。

[Statement]
During the joint poster exhibition with the College of Life Science that was held last Friday (May 17, 2024), the Student Association served as a co-organizer along with the IEEB office. We would want to apologize for the mishaps with some students who were not informed in a timely manner about the date and schedule of the oral presentations, which led them to rush on preparing their presentations the day before the event. We express our apologies to the affected students.
In addition to promptly contacting with the speakers, we have come up with alternative solutions aimed at providing the students with more time to prepare, such as allowing presentation swaps to later time slots on the day, or negotiating with professors holding seminars about the possibility of using regular seminar class timings to hold the oral presentations if needed. Despite the unexpected circumstances, we have to express our admiration of how the affected students were able to prepare excellent presentations in a short period of time.
To prevent the recurrence of this oversight in the future, considering that the role of IEEBSA is to serve as a facilitator of communication between students and between students and the faculty, we will undertake the following improvement:
1. When assisting in any activities related to graduation requirements, the Student Association will notify students through emails, the Facebook fan page "NTU IEEB Student Association" and the Facebook group "NTU Institute of Ecology and Evolutionary Biology". We will also inform student representatives to enhance communication and prevent similar incidents from happening again.
2. We will improve communication with other collaborators (such as the IEEB office) when organizing events, ensuring early confirmation of event procedures and details for better planning.
3. At the executive meeting happening at noon this Friday, we will propose discussions with faculty regarding appropriate division of responsibilities for activities related to graduation requirements.
If there is anything that requires further improvement, please don't hesitate to leave them in the comments below, or by messaging the Student Association account.
IEEBSA is once again deeply apologetic for the harm caused to students due to our insufficient capabilities. In the future, we will seek improvements through actions in order to be committed to the original intention of the association. In addition, we also remind students that if they encounter problems related to graduation thresholds, they can confirm the schedule and details of each activity through multiple channels (laboratory representatives, sending emails to the association, private messaging to the association account, posting to clubs and contacting the office staff, etc.), and solve problems through direct communication. It is always better to protect your own rights and interests.
Supplementary Note 1:
The Facebook group "NTU Institute of Ecology and Evolutionary Biology" previously transitioned from a public group to a private group in 2022 due to changes in Facebook policies, allowing anyone to join without approval, leading to various unknown accounts joining. After a vote by the group members, it was changed to a private group for privacy protection. Although there was a thought of reverting the group to public, subsequent Facebook policy changes aim to safeguard the privacy of private group members, requiring changes through member invitations and approvals, making it impossible to switch back to a public group.
Supplementary Note 2:
Starting from this semester, the director of IEEB has sent emails to all professors (include adjuct-appointed) to designate a student from IEEB as a laboratory representative, based on the executive meeting decisions last semester. If there is only one IEEB student in the laboratory, that student is the representative of the lab. The Student Association has already contacted these representatives through email for two student representative meetings (April 19, 2024 and May 3, 2024), which also covered important event schedules such as the poster exhibition and graduation ceremony.
In the future, should a student representative be unable to attend in person, the representatives may inform the association and join the meeting online. Additionally, and we are willing to provide meeting records and information for reference if the virtual meeting is still unavaliable to you, although we encourage active attendance for firsthand information on significant matters.
Given the issue we have faced this time, the Student Association will also CC the meeting notices to all the professors to ensure swift dissemination of future information.
