Position: Admin & Finance Manager

Summary: The Administration & Finance manager both oversees the company's financial operations and reporting, as well as conducts administrative tasks such as communicating with clients and engaging in personnel decisions. They exercise administrative control over many aspects of the financial operation of a business, including budgeting, payroll/human resources, and business planning. They ensure that records across financial departments are accurate.
The Administration & Finance Manager oversees the company's financial reporting mechanisms, managing the financial staff to ensure that official monthly and annual financial statements comply generally accepted accounting principles. These managers also oversee accounts and cash flow, administer internal audits, and cooperate with external auditors. Administrative tasks they perform include helping to ensure that the human resource department operates in line with standards and regulations, training new or junior staffers, and communicating with vendors and consultants as required. Administration & Finance managers work during normal business hours in an office setting, although overtime or travel may occasionally be required.

Requirements for the Administration & Finance manager typically include a:
•Bachelor's degree in business, finance, accounting, or a related field.
•With at least 3 years of managerial experience in finance and business operations.
•Excellent communications skills and a strong knowledge of financial analysis, accounting, and auditing
•Good knowledge of bookkeeping procedures and debt collection regulations
•Hands-on experience with accounting software
•Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
•Good organizational and time-management abilities.

Administration & Finance Manager Tasks:
•Checking of invoices for customers, resolve any customer issues regarding invoices or billing
•Ensures complete and accurate recording, classifying and summarizing Accounting transactions.
•Checks validity of payments and reviews the entries made in the Accounts Payable vouchers; ensures that the payments are posted correctly to units/departments where the expenses are to be charged.
•Make reports on financial and sales data to company management. (Weekly Cash Position Summary and Summary of Accounts Receivable Report)
•Prepare month end transaction such as but not limited to the following:
A. Monthly Sales /Revenue /Liquidations
B. Accruals /Prepayments
•Provides timely and accurate records prior in the preparations of Financial Statement by analyzing and maintaining the Cash Receipt Book, Cash Disbursement Book and Journal Voucher
•Maintains accounting controls and answers accounting procedure questions by researching and interpreting accounting policy and regulations.
•Maintains financial security by following internal controls.
•Recommends financial actions by analyzing accounting options
•Ensure compliance to BIR Requirements
• Maintaining records for accounts payable and receivable.
•Develop and put into practice the procedures for handling finances and accounting
•Create procedures for budget preparation, help departments develop budgets, and investigate actual costs incurred compared to the budget.
