HIRING | The University of the Philippines (UP) System Office of the Vice President for Administration (OVPA) is currently seeking one (1) Administrative Officer V (UP Contractual Status), Salary Grade 18-1.
Minimum Qualifications:
EDUCATION: Bachelor's Degree Relevant to the job
TRAINING: 8 hours of relevant training
WORK EXPERIENCE: 2 years of relevant experience
ELIGIBILITY: Career Service Professional/Second level eligibility
Duties and Responsibilities:
1. Compliance and External Coordination Ensures timely compliance with documentary, reporting, and coordination requirements of oversight and partner agencies, including the Anti-Red Tape Authority (ARTA), Civil Service Commission (CSC), Commission on Audit (COA), Department of Budget and Management (DBM), and other government and private entities. Monitors submissions, deadlines, and required actions to support institutional accountability and responsiveness.
2. Policy Research and Technical Review Conducts policy research, legal and administrative review, benchmarking, and reference validation to serve as basis for the formulation of policies, guidelines, memoranda, endorsements, and other official issuances of the Office.
3. Preparation of Official Communications Drafts, prepares, reviews, and finalizes official memoranda, letters, reports, endorsements, and other correspondence of the Office, ensuring clarity, completeness, accuracy, proper documentation, and submission within prescribed timelines.
4. Review and Processing of Proposals and Requests Reviews, evaluates, and processes proposals, requests, and related documents to determine completeness, accuracy, compliance with applicable rules and standards, and readiness for appropriate action, endorsement, or decision within prescribed timelines.
5. QMS Documentation and Quality Standards Support Consolidates, finalizes, and submits Quality Management System (QMS) documents and related requirements, and assists in ensuring that office processes, records, and outputs are aligned with institutional quality standards and compliance requirements.
6. Meeting, Committee, and Project Coordination Organizes, coordinates, and manages meetings, committee activities, and project-related discussions where assigned as lead, including the preparation and distribution of agendas, minutes, action items, follow-through actions, and logistical requirements.
7. Other Assigned Functions Performs other duties and responsibilities as may be assigned by the immediate supervisor and/or the Vice President for Administration in support of the Office's operations, priorities, and strategic objectives.
