HCMAA Holds First Coordination Meeting for the 2026 Holy Cross of Mintal Family Fun Run for a Cause.
Strengthening Partnerships, Safety, and Preparedness for a Successful Community Event
The Holy Cross of Mintal Alumni Association (HCMAA) convened its first Coordination Meeting for the 2026 Holy Cross of Mintal Family Fun Run for a Cause on August 8, 2026, at 2:00 PM at the Director’s Conference Room of Holy Cross of Mintal.
The meeting was headed by the HCMAA Pressient Irmina "Moking" Baluran brought together key stakeholders whose collective efforts will be instrumental in ensuring that the much-anticipated family fun run will be safe, organized, responsive, and successful. The gathering served as an important platform to establish coordination among the different agencies, organizations, school representatives, community leaders, and support groups who will be involved before, during, and after the event.
In attendance were representatives from the Holy Cross of Mintal Alumni Association (HCMAA) Officers and Board Members PTA Officers, School Administration, Non-Teaching Personnel, Teacher Advisory representatives, Barangay Catalunan Pequeño, Barangay Mintal, Barangay Sto. Niño, City Transport and Traffic Management Office (CTTMO), Philippine National Police – Police Station 9 (PNP PS9), Bureau of Fire Protection (BFP), Public Safety and Security Command, stakeholders and sponsors, as well as a representative from Davao Doctors Hospital, who will be part of the medical assistance and emergency response support for the event. The presence of these different sectors underscored the importance of a whole-of-community approach in preparing for the 2026 HCM Family Fun Run for a Cause.
Ensuring Safe and Efficient Traffic Management
One of the major points discussed during the coordination meeting was the traffic route, traffic flow, and parking arrangements for the event. With a significant number of participants expected to gather in and around the Holy Cross of Mintal area, organizers and traffic authorities emphasized the need for a clear and coordinated traffic management plan.
The participating agencies discussed the movement of runners, motorists, residents, event personnel, and emergency vehicles to minimize congestion and ensure that designated routes remain accessible. Parking areas and traffic control points will likewise be identified and properly managed to provide convenience while maintaining public safety.
Strengthening Medical and Emergency Response
The safety and well-being of every participant remain among the highest priorities of the organizers. A substantial portion of the meeting was therefore dedicated to medical emergency preparedness and response.
The participation of a Davao Doctors Hospital representative added an important dimension to the planning, particularly in establishing appropriate medical assistance and emergency response procedures during the fun run. The group discussed the positioning of medical personnel, emergency response coordination, access routes for emergency vehicles, and the procedures to be followed should a runner, volunteer, or member of the public require immediate medical attention.The objective is clear: every emergency must have a corresponding response, and every response must be properly coordinated.
Clear Delegation of Responsibilities
Another significant agenda was the delegation of tasks according to specific areas of responsibility. Organizers recognized that the success of a large community event depends not only on the number of people involved, but also on how clearly their responsibilities are defined. Different groups and agencies will be assigned specific areas and functions, ensuring that no critical responsibility is overlooked and that personnel know exactly where and how they are expected to respond. From traffic management and route security to medical assistance, crowd control, communications, logistics, and other operational concerns, the meeting emphasized the importance of having clear lines of responsibility and accountability.
Police and Auxiliary Group Visibility
The meeting also highlighted the importance of visible police presence and auxiliary support groups throughout the event area. Strategic deployment of uniformed personnel and trained auxiliary groups will help provide a sense of security, assist in crowd management, respond to incidents, and help maintain order along the race routes and activity areas. The organizers emphasized that visibility is not merely about security—it is also about reassurance. Participants and families should feel confident that trained personnel are readily available should assistance be needed.
Incident Command Post and Communications
Perhaps one of the most important components of the meeting was the discussion on establishing an Incident Command Post (ICP) and a reliable communication system during the event. The ICP will serve as a central coordination point where authorized personnel can monitor developments, receive reports, coordinate responses, and make timely operational decisions. Establishing clear communication channels among traffic personnel, medical responders, police, fire personnel, marshals, organizers, and other support groups will be critical in maintaining situational awareness throughout the event.
One Community, One Goal
More than simply preparing for a fun run, the first coordination meeting demonstrated the shared commitment of the different stakeholders to protect the safety and welfare of everyone who will take part in the 2026 Holy Cross of Mintal Family Fun Run for a Cause. The event is envisioned not only as a celebration of fitness, family, friendship, and the Holy Cross of Mintal community, but also as an opportunity to strengthen cooperation among the school, alumni, parents, government agencies, law enforcement, emergency responders, barangays, medical partners, sponsors, and community stakeholders.
As preparations continue, HCMAA remains committed to working closely with all partner agencies and organizations to ensure that every aspect of the event is carefully planned and properly coordinated.
The first coordination meeting marks an important step forward -but it is only the beginning.
