Case Study: How a Sri Lankan NGO Lost Critical Data

A small Sri Lankan NGO working in community development relied heavily on digital tools to store project files, research data, and sensitive community interviews. With no dedicated IT or security team, most decisions were made informally: a weakness that led to a major incident in early 2024.

The Incident: A Stolen Laptop

A project officer’s laptop was stolen at a Colombo bus stand. The device had:
• No password
• No encryption
• No remote wipe
• Auto-logged access to the NGO’s Google Drive

The laptop contained unencrypted interview recordings, beneficiary lists, donor documents, and draft advocacy content.

Unauthorized Access to Cloud Storage

Because the cloud account was signed in, the thief was able to:
• Access and download project folders
• Delete important files
• Attempt email password resets

The team noticed the attack only after missing files and unusual login alerts.

No Backup System in Place

Critical data was scattered across:
• Personal laptops
• Individual Google Drives
• Old, rarely updated external drives

When files were deleted, there were no comprehensive backups to restore from. Years of documentation and institutional knowledge were lost overnight.

Consequences
