Library Database in MS Access – Setup Guide
Step 1: Create a New Database
• Open MS Access and choose 'Blank Database'.
• Save it as LibraryDatabase.accdb.
Step 2: Import Tables
• Go to External Data → New Data Source → From File → Text File.
• Import the following CSV files:
- Books.csv → Books Table
- Members.csv → Members Table
- Borrow.csv → Borrow Table
• Set Primary Keys:
- BookID in Books
- MemberID in Members
- BorrowID in Borrow
Step 3: Define Relationships
• Go to Database Tools → Relationships.
• Drag and drop:
- Books.BookID ↔ Borrow.BookID
- Members.MemberID ↔ Borrow.MemberID
• Tick 'Enforce Referential Integrity' and save.
Step 4: Create Forms
• Use Create → Form Wizard.
• Create forms for:
- Book Entry
- Member Registration
- Borrow/Return
Step 5: Create Queries
• Go to Create → Query Design.
• Examples of useful queries:
- Overdue Books Query → Show where DueDate < Date() AND ReturnDate IS NULL.
- Member Borrow History Query → Show all books borrowed by a specific member.
- Available Books Query → Show where Status = 'Available'.
Step 6: Create Reports
• Go to Create → Report Wizard.
• Examples of reports:
- Monthly Borrowing Report
- Overdue Books Report
- Member Activity Report
Step 7: Test the Database
• Add a new book and member using forms.
• Record a borrowing transaction.
• Run queries and generate reports to test the database.
