Outlook Email Forwarding: Three-Method Comparison
1. Manual Forwarding (The Basic Approach)
• Best for: Quick, one-off emails requiring immediate human input.
• Ex*****on: Use the Forward button, right-click menu, or keyboard shortcut Ctrl+F.
• Key Feature: Allows you to type a custom message above the original content and choose to forward in-line or as an EML attachment,.
• Limitation: Unlike Outlook Classic, New Outlook cannot forward multiple emails as attachments at once,.
2. Outlook Rules (The Simple Automator)
• Best for: Consistent, repetitive tasks like forwarding invoices to an accountant.
• Ex*****on: Set up via the Settings gear icon under Mail > Rules.
• Key Feature: Operates as a server-side rule, meaning it works automatically in the background even if your Outlook application is closed.
• Conditions: Triggered by specific senders, subject keywords, or the presence of attachments.
• Limitation: You cannot modify the email content or add custom text before it is forwarded.
3. Power Automate (The Advanced Workflow)
• Best for: Complex logic, multi-step actions, and cross-application integration,.
• Ex*****on: Created via flow.microsoft.com using the trigger "When a new email arrives".
• Key Features:
◦ Customization: Add dynamic comments or messages above the forwarded text.
◦ Conditional Branches: Send to "Person A" if the subject matches a keyword, or "Person B" if it doesn't.
◦ Multi-Tasking: Can simultaneously forward an email, save attachments to OneDrive, and notify a Microsoft Teams channel,.
◦ Approval Flows: Forwarding can be set to wait for a specific person's approval first.
--------------------------------------------------------------------------------
Analogy: If managing your mail were a task, Manual forwarding is like hand-delivering a letter; Rules are like a mechanical sorting machine that redirects mail based on the address; and Power Automate is like a personal assistant who reads the mail, summarizes it, files the attachments, and asks for your permission before sending it to the next department.

🔍 Outlook Web vs New Outlook Desktop – Search Experience Matters
While using the search bar in New Outlook, I noticed a key difference:
✅ On Outlook Web, I can search across all folders at once — Inbox, Sent, Archive — everything, with just one click.
❌ But in the New Outlook Desktop app, this feature is missing. I have to manually select and search each folder one by one.
It's a small detail, but it can make a big difference in productivity — especially when you're looking for that one important email buried deep in your folders.
Anyone else noticed this? Would love to hear your experience.

Great news for Outlook users — starting July 2025, you'll finally be able to search for specific text within an email using a familiar shortcut.
This long-awaited feature brings back the ability to press Ctrl+F (or F4) to find words or phrases while reading an email, just like you can in Word, browsers, and other apps.
It’s a small update, but a big boost to productivity.

✨ Meet Me: Outlook Search 🔍
👋 Hey there! I’m Outlook Search—your go-to buddy when you’re hunting down that one email from two weeks ago... or was it two years? 😅
Just type a name, keyword, or phrase, and watch me do my magic. ✨
But... let’s be honest—I’m super fast, but not always perfect. If you’re vague, I might scratch my head a little. That’s when my big sibling steps in.
💡 Enter: Advanced Search
🧠 Precision is their middle name. Need to find that PDF from only John, sent between Jan and March, bigger than 2MB?
No guessing here. Just facts.
Hit Ctrl + Shift + F and voilà — advanced filters, folders, attachments, even size ranges are ready for you.
🔎 Whether it’s me doing a quick sweep or Advanced Search jumping into detective mode, we’ve got your back.
Because in Outlook, no email should stay hidden for long.
So... what are you searching for today? 😊

📩 Hi, I’m Email Templates!
You can call me "the time-saver you never knew you needed." 😉
If you ever find yourself typing the same email over and over, stop right there — I’ve got this. I store your frequently used messages so you can insert them in seconds. No more copy-pasting from drafts, and no more retyping that long explanation for the tenth time.
Just click. Insert. Send. Boom. 💥
But hey, I don’t just show up uninvited. You’ll usually find me tucked away under those three little dots (…) when you’re writing a new email.
Look for "My Templates." That’s me. 😊
Want to create one? Just click “+ Template”, give it a name, write your message, and hit Save. Next time, I’ll be ready when you are.
Oh, and here’s a little secret shortcut for Outlook Web users:
⚡ Settings > Mail > Compose and Reply > My Templates — you can manage all your go-to messages right there.
You can use me once, and you'll wonder how you ever lived without me.
So, did you get a message you send all the time?
Let’s save it — and your time. ⏳
