It isn’t “just admin”

One of the things I think we sometimes underestimate in schools is just how much specialist knowledge sits behind the day-to-day administration.

Take Free School Meals.

From the outside, it might look like:

Check eligibility.
Update the system.
Job done.

Except it isn’t that simple.

There are changes to understand.

Guidance to interpret.

Different circumstances to consider.

Information that needs to be recorded correctly.

And consequences if something is misunderstood or missed.

And FSM is just one example.

The same applies to admissions.

Finance.

HR.

Contracts.

Compliance.

Data.

Safeguarding processes.

The list goes on.

When an experienced School Business Manager or Office Manager leaves, they don’t just take a job title with them.

They take years of knowledge and experience with them.

And when that knowledge isn’t replaced, the gap can be much bigger than the vacancy suggests.

The person left holding the work may be perfectly capable of administration.

But that doesn’t automatically mean they have the specialist knowledge, confidence or experience to make the decisions sitting behind that administration.

And I think that’s an important distinction.

It’s not about whether your admin team is capable.

It’s about whether we’ve given them the right support to succeed.

Because “just muddle through” might get you through today.

But it isn’t a sustainable way to run a school.

And sometimes the things that haven’t gone wrong yet are the things we need to be looking at most closely.

Schools shouldn’t have to muddle through complex operational issues alone.
