About The Travelling Stage

The Travelling Stage delivers arts education programs across schools, community studios, and special events. We operate in a collaborative, fast-paced environment rooted in creativity, care, and clear communication.

About the Role

We are hiring an organized, detail-oriented Production Coordinator to join our team in Whitby. Working alongside our existing Production Coordinators, this behind-the-scenes role focuses on day-to-day administrative operations, customer communication, and workflow management for our Durham Region programs.

Duties & Responsibilities

Program & Studio Logistics: Oversee studio registrations, program schedules, and up-to-date class lists.

Family Communications: Act as a main point of contact for families regarding program logistics, schedule updates, and general inquiries.

Administration: Maintain databases, internal schedules, and program documentation.

Visual Materials: Build basic graphic assets and program materials using Canva.

Team Collaboration: Work directly with fellow Production Coordinators, the Studio Manager, Director, and teaching artists to keep daily operations running smoothly.

Candidate Qualifications & Skills

1–2 years of experience in administration, operations, or program coordination.

Strong organizational skills and high attention to detail.

Calm, confident written and verbal communication style.

Proficient with Google Workspace, Microsoft Office, and standard scheduling tools.

Experience with Canva is strongly preferred.

Experience with Monday.com, arts/educational organizations, or live event production is a major asset.

A background in theatre is welcome, but not required.

Location & Working Schedule

Primary Location: Based out of our Whitby office (supporting operations across Durham Region).

Hours: Approximately 20 hours per week (part-time contractor basis, with potential to scale to full-time).

Schedule: Flexible scheduling, though some evening and weekend hours are required during production weeks.

Additional Context

Role Focus: This is a purely operational, systems-focused administrative role.

Scope: This is not a teaching, performing, or sales position.

Support: You will be working as part of an established administrative team, not working on-call or managing complex issues alone.

The Travelling Stage delivers high-quality performing arts programming to schools, childcare centres, libraries, and community organizations across Ontario and beyond. We operate in a collaborative, fast-paced environment rooted in creativity, care, and clear communication.

About the Role:
We are hiring an organized, proactive Outreach Booking Coordinator & Artist Support person to help make every program run smoothly — from matching the right teaching artist with each booking to supporting customers and artists throughout the experience.

This is a relationship-focused coordination role for someone who communicates clearly, enjoys solving problems, and can confidently manage multiple bookings and moving pieces at once.

Duties & Responsibilities:

Booking Coordination: Manage bookings from confirmation through completion, including program details, logistics, changes, cancellations, feedback, and wrap-up.

Customer Communication: Act as a primary point of contact for customers, ensuring they feel informed and supported throughout their booking.

Artist Coordination & Support: Coordinate schedules, substitutions, job shares, materials, and other logistics.

Artist Outreach: Research arts communities in regions where additional artists are needed.

Administration: Maintain accurate booking and artist information across internal systems.

Team Collaboration: Work closely with the Director and Teaching Artists.

Candidate Qualifications & Skills:
- Strong organizational skills and high attention to detail.
- Clear, warm, and proactive written and verbal communication.
- Confidence managing multiple priorities, timelines, and relationships at once.
- Resourceful and comfortable researching and reaching out to new artists and community contacts.
- Calm and solution-focused when schedules or plans change.
- Self-directed, reliable, and able to follow through without frequent supervision.
- Comfortable learning and working with digital systems.
- Experience in arts administration, artist/talent coordination, education, bookings, customer service, or a related field is an asset.

Location & Working Schedule
Primary Location: Hybrid In Person at Whitby Office/Remote
Hours: Part-time contractor basis, with potential to scale to full-time.
Schedule: Flexible scheduling between 7:30am-4:30pm (Monday through Friday)

Exciting news from The Travelling Stage Studio!

We've made the decision to open an Aladdin Jr. session for ages 8-13 at our Whitby Studio in residence at Abilities Centre.

Details:
Fridays | 5:00–7:00 PM
Starting this October
*The Wednesday Aladdin Jr. session will still be offered at our Bowmanville location.

This program offers young performers the opportunity to build confidence, develop their skills in acting, singing, and dancing, and experience the excitement of bringing a full musical production to the stage.

Space is limited, and registration is available on a first come, first served basis.
