Someone calls claiming to have detected a problem and asks the employee to install software, share a code or provide remote access.

Watch for:
• Unsolicited technical support
• Requests for passwords or verification codes
• Pressure to install remote-access software

Safer move: hang up and contact your IT provider using the number already on file.

This week's scam: The cloned voice request

A caller sounds like the dentist or office manager and asks for an urgent payment, password reset or transfer of information. A familiar voice is no longer enough proof.

Watch for:
• Unusual urgency
• Requests that bypass normal procedures
• Instructions not to involve anyone else

Safer move: end the call and verify through a known number or agreed internal process.

This week's risk: Pasting patient information into a public AI tool

A team member wants help writing a letter, summarizing notes or answering a patient question. Using AI feels fast, but identifiable patient information should not be entered without proper authorization, safeguards and an approved process.

Watch for:
• Names, dates of birth or health details in prompts
• Staff using personal AI accounts
• No clear practice rules for AI use

Safer move: use only approved tools and remove identifying information unless the practice has confirmed the use is appropriate.

This week's scam: The fake courier delivery text

A text says a package cannot be delivered until a small fee is paid. That small payment page may be designed to steal card details or login information.

Watch for:
• Unexpected delivery notices
• Shortened or unfamiliar links
• Requests for a small “redelivery” payment

Safer move: check the shipment through the courier’s official website or app.

This week's scam: The fake CRA refund or payment notice

An email or text says a refund is waiting, or that immediate payment is required to avoid penalties.

Watch for:
• Threats or promises designed to create urgency
• Links asking for banking or login information
• Unexpected attachments

Safer move: do not use the link. Access the CRA through the official website or a known account login.

Could This Fool Your Team?

This week's risk looks less like a scam and more like an ordinary mistake.

A team member selects the wrong contact and sends patient information to someone else.

Watch for:
• Auto-complete choosing a similar name
• Attachments added before the recipient is checked
• Sensitive information placed in an ordinary email

Safer move: confirm the recipient and attachment immediately before sending.

Sneak peak on upcoming signal report...Backups Are Not Recovery

Among 453 assessed practices, 414, or 91.4%, did not demonstrate adequate recovery capability at the time of assessment.

A backup can appear to be working while restoration remains untested, recovery time is unknown, or responsibilities are unclear.

Practices cannot correct a recovery gap they do not know exists. These are assessment observations, not national prevalence estimates.
