Every small business has one.

The person who knows how billing actually works. Not the official version
the real one. Which client needs the PO on the invoice line. Which portal breaks if you upload before noon. Who to email when a payment posts to the wrong account.

None of it is written down. All of it is load bearing. And then that person takes a vacation. Or gets sick. Or gives notice.

I've watched a company lose two weeks of cash flow because one person was out and nobody else knew the workaround for a single client portal.
Documentation isn't bureaucracy. It's insurance.

If your operation would stumble when one specific person is unreachable, you don't have a process. You have a dependency.

Write it down. Then make it findable.

After nearly four decades in billing and collections, I can tell you there are only about six real reasons an invoice doesn't get paid.

They never got it
They got it, but it went to the wrong person
It's missing something their system requires
There's a dispute nobody escalated
They genuinely can't pay right now
They can pay and are choosing not to
Five of those six are solvable in a week. Most of them are solvable in a phone call.

But here's what happens instead: everything gets lumped into "they're slow payers," the account ages quietly, and by the time anyone looks closely it's 120 days out and the relationship is awkward.

The fix isn't being more aggressive. It's being more specific.

You cannot collect on a reason you haven't identified.

Everything I deliver is async. No live sessions. No calendar links. No "quick 30 minutes to sync."

People assume that's about my convenience.
It's not. It's about yours.

Here's what a meeting actually costs a small business owner: the 30 minutes on the call, plus the 15 minutes before where you can't start anything meaningful, plus the 20 minutes after where you're re-entering the thing you were doing. That's over an hour for a conversation that could have been a document.

And a document is better anyway.

A meeting lives in your memory for about four days. A written playbook lives in your operations forever. Your new hire can read it in eighteen months. You can hand it to your bookkeeper. You can actually follow it at 9pm when you're finally getting to it.

You send me the mess. I send you back the fix, in writing.

That's the whole model.

Most small businesses don't have a cash flow problem.
They have an accounts receivable problem wearing a cash flow costume.

When money gets tight, the instinct is to look for money coming in a loan, a line of credit, a card, the owner's personal savings. Almost nobody looks at what's already owed. And when I finally pull the aging report, it's the same story every time:
→ Invoice went to a person who left the company in March
→ Missing PO number, so it never entered their system
→ A denial that came back four months ago and nobody worked it
→ A promise-to-pay that no one followed up on

That's not lost money. That's parked money.

It's the cheapest cash in the building, and it doesn't require an application, a credit check, or an interest rate.

Go get what you're already owed before you borrow against it.

The 3 things quietly costing real estate offices and property management companies money — and
nobody's watching them:
1) Aging rent or HOA balances that don't get chased until someone finally notices
2) Transaction files and closing processes that only make sense to the person who built them
3) Manual, repetitive admin — re-typing the same disclosures, re-explaining the same onboarding
steps to every new agent or tenant
None of this needs a tech overhaul. It needs someone to actually map it out.
Which one hits closest to home for your office? 1, 2, or 3 — drop it below

Brokers — here's an uncomfortable question:
If your transaction coordinator was suddenly out for a month, could every file currently in escrow still
close without missing a deadline?
For most offices, the honest answer is “probably not perfectly.” The closing checklist, the lender
follow-ups, the inspection deadlines — a lot of that lives in one person's head and their personal
system, not something anyone else could pick up cold.
That's not a knock on your TC. That's a gap in the business.
Is your transaction process actual

Property managers — quick gut check:
How many units on your rent roll are behind right now, and how far behind is the oldest one?
If that number isn't sitting somewhere you can pull up in 10 seconds, it's costing you more than you
think. Owners notice when the deposit is short. They don't always ask why — they just start
wondering if they picked the right management company.
Aging reports aren't glamorous. But they're the difference between “we're on top of it” and “let me
get back to you.”
How current is your aging report right now? Be honest.

The most common thing I hear from owners: “I don't want AI to replace my team.” It's not going to. What it's actually good at is the boring stuff nobody wants to do anyway like chasing overdue invoices, writing up a process nobody's had time to document, sorting through a pile of data that's been ignored for months. AI doesn't replace your people. It gives them their time back. If you want a low-pressure way to see what this looks like, I've got a free issue of my newsletter that walks through exactly check it out on missymurraybiz.com

Also, did you know: Keep the human in the loop to make judgements, strategize, approvals and most of all decisions.

The 3 things I check first when an owner tells me “we're a mess”:
1) Unpaid invoices how much is owed, and how old is it
2) Undocumented processes — the stuff that only lives in someone's head
3) Repetitive busywork — the hours your team spends on things a tool could do in minutes None of this requires “AI transformation.”

It requires someone to actually look. Which one hits closest to home for you? Comment 1, 2, or 3
