Role Overview:
The Summit Operations Associate is a vital member of our core team, responsible for helping to ensure the seamless ex*****on of our summits by coordinating every facet of speaker care and interview logistics. This role is responsible for recruiting and supporting speakers, managing communications, and maintaining the accuracy and organization of all summit speaker-related assets and information in a timely and efficient manner. With a keen eye for detail and a proactive approach, the Summit Operations Associate will facilitate professional, prompt and clear communication with speakers and their teams. They will work together with their internal teammates to ensure that interviews are produced, edited and delivered within established timelines.
In addition, this role involves meticulous management of spreadsheets, project tasks, and shared drives—updating and organizing all assets in line with HMI’s standard processes. The Summit Operations Associate writes and edits speaker bios, captions, and interview questions. Regular collaboration with marketing copywriters, operations team members, and VAs is essential to keep all aspects of the summit on track. Success in this role requires exceptional organizational skills, efficiency and the ability to prioritize competing demands in a dynamic environment. The ideal candidate has excellent proofreading abilities, ensuring that all written communications are free of grammatical and punctuation errors, contextually accurate, and consistent with organizational standards. The Summit Operations Associate will leverage assigned AI tools and technologies to enhance efficiency, accuracy, and productivity across all tasks. This position reports to the Director of Operations.
Key Responsibilities:
Coordinate the speaker care component of all summits. This includes all tasks around recruiting, coordinating assets, scheduling speakers for interviews and updating all spreadsheets and tools used to manage these processes. It also includes scheduling interview producers and co-hosts for each interview, as well as producing and potentially co-hosting select interviews.
Deliver promotional assets to speakers and help them with any questions regarding the promotion process.
Ensure that all speaker interviews are completed, and that the recordings are edited, transcribed and all assets are added to the HMI Google Drive.
Meticulously update the Summit Master Spreadsheet and organize the summit drive according to HMI standard processes.
Write or review all speaker photo captions and bios. Write, or coordinate the writing of all interview questions for summit interviews following the prompt for each summit.
Proofread and edit all summit communications and web pages for accuracy and completeness.
Manage the speaker master list to ensure that all speaker information is accurate and up to date.
Communicate with the marketing copywriters, operations team and VA’s to ensure that all aspects of summit interviews and copy are on track.
Meet regularly with team members involved in summit processes as needed.
Embrace AI-powered tools to ensure work is completed efficiently, accurately, and with a continuous improvement mindset.
Requirements
Experience:
3+ years experience in operations, project coordination, or administrative roles, ideally within the wellness, mindfulness or personal growth sectors.
Experience coordinating communications and logistics for multi-faceted projects with tight timelines.
Familiarity and proficiency with using spreadsheets, shared drives (e.g., Google Drive), and project management tools.
(Preferred) Experience in a distributed/remote team environment and collaborating across time zones.
Education:
Bachelor’s degree in Communications, Business Administration, English, Marketing, or a related field, or equivalent work experience.
(Preferred) Additional training or certification in project management, event production, or copywriting/editing is a plus.
Skills:
Strong organizational skills with the ability to prioritize, multitask, and adapt in a dynamic, fast-paced environment.
Meticulous attention to detail for maintaining asset accuracy, file organization, and documentation.
Proficiency in Google Workspace (Google Sheets, Docs, Drive, Calendar), project management software (e.g., monday.com), and basic video conferencing platforms (Zoom, WebinarJam, etc.).
Superior proofreading and editing abilities—able to catch grammatical, contextual, and consistency errors with ease.
Ability to write clear, compelling bios, captions, and interview questions tailored to each summit theme.
Professional and prompt email etiquette; confident interfacing with high-profile speakers and their teams.

Compensation & Benefits:
This is a contractor position. Compensation will be hourly, with an expectation of up to 30 hours per week. Heart Mind Institute is an equal-opportunity employer.
