NOTIFICATION
Subject: Constitution of Students’ Wing - Student Consultative Bureau (SCB) | Open Call | Test/Interview Schedule
It is hereby notified for information of all concerned that the Student Consultative Bureau (SCB) is constituting its Students’ Wing to strengthen student facilitation, consultative engagement, and verified dissemination of student-relevant information across the University.
1) Departmental Representation
The Students’ Wing shall include representation from all 26 departments, with selection on the basis of one male and one female student from each department, subject to merit, discipline, and availability.
2) Reporting Line
All Students’ Wing members shall report to ORIC / SCB Coordination for tasking, approvals, communication clearance, and performance monitoring.
3) General Roles of Students’ Wing Members
Selected Students’ Wing members shall perform the following roles and functions:
a) Department-Level Facilitation & Consultative Support
Serve as the departmental contact point for student facilitation and consultative engagement.
Receive student concerns in an organized manner, guide students on proper channels, and support resolution through appropriate offices.
Maintain respectful conduct, neutrality, and professionalism in all interactions.
b) Complaint/Issue Handling (Structured and Verified)
Record issues in an approved format (what/when/where/who/evidence).
Verify basic facts before escalation to avoid misinformation.
Follow-up on assigned cases and maintain closure notes/status updates.
c) Information Collection & Verification (Official Updates)
Collect and verify student-relevant official information from University offices and academic departments, including circulars, notices, schedules, deadlines, timetables, and event details.
Ensure information is accurate, complete, and timely before dissemination.
d) Publishing & Communication (Official Channels Only)
Publish verified updates through SCB official social media pages and the SCB website/portal (where applicable), strictly following approved communication standards.
Support awareness drives, announcements, and student guidance messaging as assigned.
e) Coordination & Student Engagement
Coordinate and communicate with other student groups/bodies, as assigned, for organized student engagement and to prevent misinformation.
Assist in consultative sessions, departmental visits, help desks, and engagement events as per SCB calendar.
4) Eligibility Condition (Neutrality / Conflict of Interest)
To maintain impartiality and institutional credibility, candidates selected for the Students’ Wing must not be members or office-bearers of any other student body, union, society, or representative forum during their tenure. Selected candidates shall provide an undertaking/confirmation to this effect.
5) Central Core Team (10 Members) - Roles and Responsibilities
A Central Core Team shall be constituted from among the selected Students’ Wing members to run governance, assign work, maintain records, and manage coordination, as follows:
1. SCB (Students' Wing) SW President / Student Lead (1): Chairs meetings; assigns tasks; ensures delivery; submits consolidated weekly progress report to ORIC / SCB Coordination.
2. Vice President / Operations Lead (1): Runs day-to-day operations; ensures follow-up on tasks/cases; substitutes for President when required.
3. Secretary General / Records Head (1): Maintains minutes, attendance, notices, official records, and trackers.
4. Deputy Secretary / Documentation Support (1): Supports documentation; ensures departmental reports are submitted on time; compiles weekly reporting/dashboard inputs.
5. Case Management Lead (1): Manages complaint intake, triage, categorization, escalation workflow, and closure notes.
6. Discipline, Ethics & Confidentiality Officer (1): Enforces code of conduct; ensures confidentiality; handles group misuse and internal discipline issues.
7. Female Student Liaison (1): Provides a safe reporting channel for female students; ensures inclusive participation and protection of privacy.
8. Communications & Outreach Lead (1): Drafts/standardizes official messaging; runs awareness drives; ensures consistency and accuracy.
9. Digital/Data Lead (1): Manages Forms/Sheets data systems; ensures integrity, access control, and reporting.
10. Events & Engagement Lead (1): Plans consultative sessions, departmental visits, help desks, and engagement activities; maintains event calendar and reporting.
6) Test/Interview Schedule (Mandatory)
All interested candidates are directed to appear for the test/interview as per the following:

Venue: SCB Office, Computer Systems Engineering Department
Candidates are advised to be punctual and prepared for a short written/practical assessment and interview to evaluate communication, discipline, confidentiality, teamwork, and availability.
