Honest question for site-side and office-side folks.
How do you currently track open RFIs on your projects?

No wrong answer. I'm asking because I suspect the delay isn't the writing — it's the tracking. Curious if that holds across different setups.

I went back and counted. Fourteen open RFIs on one project, and three of them I genuinely couldn't tell you the status of without digging through email threads.
Not because no one answered. Because there was no single place tracking what was raised, what was still open, and what was quietly overdue.
This week I rebuilt the RFI log properly, so overdue items are impossible to miss instead of something you find out about in a coordination meeting. The letter template sits next to it, so raising a new one doesn't start from a blank page either.
None of this needed AI to fix. It needed five minutes of admin I kept deprioritizing.

For the past several months I have been doing something on top of my day job on site. It is nearly ready. ⏰

I have been building a prompt library specifically for construction professionals — PMs, QSs, contract managers, and document controllers. Not a generic AI guide. Not a "10 ways AI will change construction" article. A practical, ready-to-use resource built from real project experience on FIDIC and NEC contracts across GCC and Southeast Asia.

I have asked this question to construction PMs, QSs, and contract managers across GCC and Southeast Asia over the past few years. The typical honest answer ranges from 40% to 60% of the working week.

That is not a productivity observation. That is a structural problem with how the industry runs.

The blank page is the problem. Not the RFI itself. 📝

You know what an RFI needs to say. You have raised dozens. But every time you start a new one, you spend the first 20 minutes getting the structure right, finding the right formal tone, and making sure the programme and cost impact sections are professionally worded.

Here is the prompt I use to get a complete RFI first draft in under 5 minutes. Copy it, replace the placeholders with your own project details, and paste it into Claude or ChatGPT.

The output will not be 100% final — you will always need to review and adjust for your specific project. But you will be working from a complete, professionally structured draft instead of a blank page.

It was a FIDIC Cl.20.1 notice. I knew exactly what to write. But getting the words in the right order took most of my evening.

I spent 3 hours on a delay notice one evening. Then I tried something different.
It was a Cl.20.1 notice under FIDIC Red Book. I knew exactly what it needed to say. The event was clear, the timeline was documented, the contractual basis was solid.
But drafting it — getting the precise language, the right level of formal tone, the correct sequencing of facts — took most of my evening.
The next similar notice I needed to write, I tried using an AI tool as a first-draft assistant.
I gave it the event description, the clause, the parties, and the key dates.
The first draft came back in under 2 minutes. It was not perfect — I edited about 30% of it. But the structure was right, the tone was right, and it gave me something to work with rather than a blank page.
Total time: 18 minutes instead of 3 hours.
I am not saying AI writes your documents. I am saying it removes the blank page — and on a project under contract pressure, that matters.
