Iโ€™ve just shared a new video for my Patreon community about something that can quietly turn a simple monday.com system into a plate of automation spaghetti. ๐Ÿ

Individual automation recipes are simple enough.

But once you have dozens of often inter-dependent automations triggering actions, updating data and moving information between multiple boards, it can become surprisingly difficult to answer a basic question:

What is my system actually doing?

In the video, I share the approach I use to document and make sense of automations, both in my own monday.com systems and when Iโ€™m trying to understand a client system I didnโ€™t build.

One idea Iโ€™ve found particularly useful is identifying your critical automations, especially those that connect multiple boards together.

Those automations often reveal the underlying structure of the entire system and can be the fastest way to understand how information actually flows.

Recently a couple of my Monday consulting clients asked me:

"What's your honest opinion of monday Campaigns? Should we use it?"

My answer surprised even me...

I drew a complete blank.

Not because I don't like it. Because I'd pretty much stopped thinking about it altogether, let alone testing the latest updates.

Here's why.

As it stands, monday Campaigns can only send a single email on its own.

And call me literal if you like but... a single email isn't really a campaign.

Yes, you can build multi-email campaigns using monday Workflows, and I LOVE Monday Workflows.

But here's the catch.

Most of my clients are on the Pro plan.

On Pro, you only get 5 Workflows.

So in practice, you're limited to five multi-email campaigns before you start running out of one of your most valuable resources.

For most small businesses, that's a pretty big compromise.

So here's my advice... for now.

โœ… If you just want to send newsletters, don't mind sending them manually, and you're happy with a simpler feature set than platforms like Mailchimp, Kit or MailerLite, then monday Campaigns is actually a really nice option.

โŒ But if you're planning to build send more than 5 multi email campaigns and you're not on Enterprise...

I'd still recommend using a dedicated email marketing platform.

That said, I'm starting my monday Campaigns certification this week because I want to stay on top of where this product is heading.

Knowing monday, I expect it'll improve rapidly over the next year or two.

I stumbled upon this new automation trigger in the Automations Centre today...seems like things are happening with Quotes & Invoices! (And it's about time, it hasn't been very useful to date).
I haven't had a chance to check what other new automation triggers and actions might be available for Quotes & Invoices and I haven't yet got access to the latest version of Quotes and Invoices...has anyone out there tested the new version yet? Thoughts?

Your spreadsheet isn't the problem anymore. Your business is.

Spreadsheets are brilliant.

Until one day... they're not.

It usually starts innocently.

"We'll just add another tab."

Then another.

Then a few colour codes.

A handful of formulas.

Someone creates their own version because they "didn't want to break anything."

Now you've got three spreadsheets, two versions of the truth, and one person who's terrified of deleting a row because nobody knows what it might break.

Sound familiar?

Here's the thing...

The spreadsheet isn't failing.

It's just doing a job it was never designed to do.

Spreadsheets are fantastic for storing and analysing data.

They're not so great at managing growing teams, tracking workflows, assigning accountability, automating repetitive tasks, or becoming the operational backbone of your business.

At some point, the spreadsheet stops being a tool...
..and starts becoming a full-time job.

If your team spends more time updating the spreadsheet than doing the work it's supposed to track, you've probably outgrown it.

That's not a spreadsheet problem.

It's a sign your business has grown.

And that's actually a good problem to have.

I need your opinions. (Possibly your strongest opinions.)

I've spent an embarrassingly large chunk of my life/bank balance trying project management software. It's basically a hobby disguised as "research."

Here's my question...

If monday.com vanished overnight (don't panic, it's only a thought experiment ๐Ÿ˜…), what would you replace it with?

I'm not talking about a simple to-do list.

I'm talking about something that can genuinely handle complex business systems, relational data, workflows, automations... the whole enchilada.

I've been rambling about this over on the MondayWiki community after monday.com's increasingly enthusiastic AI adventures sent me down another software rabbit hole.

I'd love your recommendations.

Comment below, or if you're in the community, jump into the discussion there (link in comments). Convince me there's something out there that's actually worth learning.

(And before anyone asks... no, I'm not leaving monday.com. I complain about it like family, but I'm still weirdly obsessed with it. ๐Ÿค“)

Shiny toy syndrome...the struggle is real!

It never made sense (even to me) until I figured out last year that I have ADHD. And I don't just have ADHD, I have ADHD up the yin yang!

Which probably explains both my fascination with digital systems (especially task/project managers, productivity apps and time tracking tools) and also why I have constantly tested, adopted then cancelled tool after tool for as long as I can remember.
(The amount of money I have wasted on software subscriptions over the past 10 years or so would be enough to feed a small island nation for a year!)

Monday.com is actually the ONLY tool I have stuck with consistently in my business and life for any length of time.

And ironically, it's NOT because it's so amazing that I just can't leave. (Sorry monday).

It's actually the challenges, limitations and frustrations that monday presents to users that keeps me coming back for more and experimenting with new and better ways of doing things.

That and the fact that you can build and re-build monday however and whenever you want.

Those two things are actually what keep me coming back to monday.

And it's precisely because of my ADHD brain that I have learned to do things in monday natively that other monday experts and monday support will tell you are 100% guaranteed impossible.
(Like set up fully automatic native time tracking with accurate time sheets, or enable the ability to use cross board automations even when multiple boards are connected to the same connect boards column).

So I guess, until Monday eliminates the many challenges and frustrations that users run into time and time again, I will keep doing what I'm doing - testing, tweaking, trying things that are impossible and building solutions, hacks and workarounds for monday users that help them get more done with monday with less stress and frustration.

Dear Monday.com users - please stop doing this! (It's killing your systems).

๐Ÿšจ Stop turning your Status column into a colourful freestyle note-taking competition.

I see it all the time.

Someone wants to remember one little thing...

"Commercial Job."

New status label.

"VIP Client."

New status label.

"Waiting for Deposit."

New status label.

"Large Project."

New status label.

"Customer called."

New status label.

Fast forward three months and your Status column looks like someone emptied a bag of M&Ms onto your board.

๐ŸŒˆ 47 colours.
๐Ÿท๏ธ 33 labels.
๐Ÿคท Nobody knows what happened before.
๐Ÿค” Nobody knows what should happen next.

One of my favourite examples is when people start entering the type of job into a column that's supposed to show the status of the job.

Those are two completely different things.

A Status column can only answer one question.

โœ”๏ธ Where is this job in the process?

OR

โœ”๏ธ What type of job is it?

The moment you try to make it answer both...
..it answers neither.

Sometimes the best monday.com upgrade isn't adding another feature.

One of the most expensive mistakes I see people make in monday is building boards before they've figured out what the hell they're actually trying to manage.

The sequence usually goes something like this:

๐Ÿ‘‰ Sign up for monday

๐Ÿ‘‰ Get excited

๐Ÿ‘‰ Build a Projects board

๐Ÿ‘‰ Build a CRM board

๐Ÿ‘‰ Discover automations

๐Ÿ‘‰ Build three more boards

๐Ÿ‘‰ Wonder why everything still feels messy

The problem isn't the boards.

The problem is that most people start designing the system before they've understood the business.

Who owns what?

What actually happens next?

What does "done" mean?

What information needs tracking?

Where are things currently falling through the cracks?

Those questions aren't particularly exciting.

Building automations is much more fun.

Unfortunately, the boring questions are the ones that determine whether your monday account becomes a superpower or a very colourful collection of confusion.

I've lost count of how many businesses I've seen rebuild the same boards over and over again.

Not because they built them badly.

Because they built them before they had clarity.

It's a bit like arguing over paint colours before you've decided how many rooms the house has.

So whether you're brand new to monday or you've been using it for years...

Before you build the next board, spend a little time understanding the work you're trying to support.

Future You will be extremely grateful.

Current You will probably ignore this advice and build the board anyway.

That's fine.

Future You and I will be here when Board Rebuild #7 inevitably arrives. ๐Ÿ˜…
