Circular: Field Trip Fees and Mandatory Reporting Protocols
Date: March 23, 2026
To: All School Principals and Administrators
From: County Education Officer
Thru: District Education Office, Gbarnga #1
Subject: Unauthorized Field Trips and Fee Transparency
It has come to the attention of the District Education Office that some schools are introducing field trips in the middle of the semester without prior communication to parents and guardians or without a curriculum alignment. This practice is unacceptable and undermines trust between schools, families, and the District Office. Effective immediately, the following directives must be observed:
1. Prior Notification
• No school shall organize or announce a field trip without first informing parents/guardians at the beginning of the academic year. This must be done at least during the first two PTA meetings.
• Written communication must clearly outline the purpose of the trip, destination, expected learning outcomes, and associated costs.
2. Transparency
• All payments collected from parents/guardians for field trips must be documented and receipts issued.
• Principals are required to submit a detailed report on all collections and expenditures to the District Education Office within five (5) working days after the trip.
• Any discrepancies or failure to report will be subject to administrative review.
3. Safety and Accountability
• Schools must adhere to established safety protocols, including adequate supervision, use of licensed vehicles, and provision of emergency contacts.
• Trips conducted without prior approval and reporting will be considered unauthorized.
4. Compliance
All schools are hereby warned that failure to comply with these directives will result in disciplinary measures. The District Education Office is committed to ensuring transparency, accountability, and the safety of all students under its supervision.
I got over 1,500 reactions on my posts last week! Thanks everyone for your support! 🎉
