After 47 simulations, observing various crisis teams, one critical mistake stands out prominently — a mistake even the experts tend to make:

The focus tends to be on the plan rather than the people involved.

No matter how flawless the protocol may seem, it loses its essence when:

- The Incident Commander hesitates

- The communication lead vanishes

- The legal team impedes progress due to concerns about liability

It's imperative to prioritize the human element.

By incorporating stress simulations, introducing fatigue, and strategically removing key team members during exercises, teams can better prepare.

putting critical systems and passenger safety at risk.

Did you know that over 50% of aviation accidents occur outside the airport fence? This fact highlights the challenges faced by traditional emergency plans when dealing with real-life incidents in diverse environments such as forests, urban areas, mountains, and near water bodies.

In scenarios where aircraft crashes beyond airport boundaries, standard protocols no longer suffice, raising the stakes significantly. Recent data from 2022 to 2024 reveals that 33.7% of incidents happen in forests, 18.4% in urban areas, 9.2% in mountainous regions, and 17.4% near water bodies, each posing unique operational hurdles like limited accessibility, poor communication infrastructure, and delays in inter-agency coordination.

The critical first 60 minutes after an incident are crucial. Activation of state emergency plans may take up to an hour before significant actions occur at the crash site. During this time, challenges include limited situational awareness, lack of real-time information for first responders, difficulties in reaching the crash site, and establishing coordination among various agencies promptly.

Cooperation among stakeholders is paramount for effective crisis management in such non-standard environments. It necessitates managing challenging terrains, ensuring seamless communication, defining clear roles and responsibilities, realistic training in diverse scenarios, and utilizing shared digital platforms for swift information exchange. Without these elements, even well-prepared organizations may struggle to respond effectively.

Organizations must evaluate their teams' performance in non-standard environments, explore the areas surrounding airports, conduct inter-agency drills based on real-world conditions, and adjust response timelines considering coordination delays. Many emergency plans drills were designed for airport-based incidents, overlooking the complexities of off-site aviation accidents.

After delivering online crisis management training in cooperation with our partner SCSI for several Canadian airlines last week, we moved on to Vienna this week. On the first day, we discussed crisis management in aviation and the importance of cooperation among the agencies involved, with aircraft accident investigators from several countries, including Austria, North Macedonia, Armenia, Portugal, Lithuania and the Czech Republic, in attendance. The discussion yielded several key takeaways, such as the importance of clear leadership and responsibilities, training in cooperation and decision-making, and the importance of allocating time to pre-arranged SOPs, agreements, and testing. On the second day, we demonstrated the concept of pre-agreed operational agreements by conducting a tabletop exercise simulating an aircraft accident in wooded hills outside the airport.

Conducting tabletop exercises is a proven method to massively improve an organization's preparedness for an adverse situation.
Depending on the goals involved, different frameworks and prerequisites apply.
However, in many organizations, this enormous potential for increasing business resilience remains untapped.
We want to better understand how to change this.
After a series of three short surveys this month, we will report back to this community with a brief summary (given a good number of responses).
