Student Services & Administrative Assistant

Part-Time (Temporary to Permanent)
🕐 1:00 PM – 6:00 PM

About the Role:
VB Education Consulting is looking for a highly motivated, professional, and people-oriented individual to join our growing team as a Student Services & Administrative Assistant. This role is ideal for someone who enjoys helping people, has excellent communication skills, and can work in a fast-paced environment while maintaining a positive attitude.

Key Responsibilities

Student Services:
* Welcome and assist students in person, by phone, email, and social media.
* Answer inquiries regarding programs, admissions, scholarships, grants, and student funding.
* Schedule appointments and maintain consultant calendars.
* Follow up with prospective and existing students.
* Assist students with document collection and submission requirements.
* Provide excellent customer service and ensure a positive student experience.
* Maintain confidentiality of student records and information.
* Help students understand application processes and required documentation.

Administrative Duties
* Answer and direct incoming phone calls professionally.
* Manage emails, appointments, and office schedules.
* Prepare, organize, and maintain student files and records.
* Perform data entry and update CRM/database systems accurately.
* Assist with filing, scanning, photocopying, and document management.
* Prepare reports and administrative documents as required.
* Monitor office supplies and assist with office organization.
* Support management with daily administrative tasks.

Marketing & Community Support
* Respond to social media messages and inquiries.
* Assist with event registrations and community outreach activities.
* Support promotional campaigns and student engagement initiatives.
* Help coordinate workshops, information sessions, and recruitment events.

Qualifications:
Required Skills & Qualities:
✅ Must have reliable transportation and be able to commute consistently to the workplace.
✅ Long patience and strong customer service skills.
✅ Fluent in English (spoken and written)
✅ Charismatic, professional, and approachable personality.
✅ Strong interpersonal and communication skills.
✅ Able to work with people from diverse cultural backgrounds.
✅ Fast learner with strong attention to detail.
✅ Self-motivated and takes initiative.
✅ Organized and capable of multitasking.
✅ Reliable, punctual, and dependable.
✅ Intermediate computer skills (Microsoft Office)
✅ Ability to handle confidential information professionally.
✅ Problem-solving mindset and positive attitude.

Preferred Qualifications:
* Previous experience in customer service, reception, administration, education, admissions, or student services.
* Experience answering phones and handling client inquiries.
* Experience using social media platforms for communication.
* Knowledge of Canadian education is an asset but not required (training will be provided).
